Zoho Docs is an Online Document Management where you can store all your files securely in a centralized location, and access anywhere online. You can create, edit, share, view and upload any type of files including Zip, PDF, etc. Zoho Docs also acts as an Online Collaboration tool where you can share and collaborate with friends or group of users.



To access all the Zoho applications, sign up for Zoho at www.zoho.com . Upon clicking this link, the screen below will appear.





 

 

For you to begin interacting with Zoho applications, you get a username and a password which will be required to sign in to every Zoho application. To get your username and password, follow the steps below: Navigate your browser to www.zoho.com Click the sign up for FREE! link you see at the right in the figure 1.0 above which will create a Zoho account page you see in see below (figure1.1) Enter the username you want to use. Your username should be between 6 and 30 long and it can contain letters, numbers, underscores, and or/dots (.).

 

 





Enter a valid email address. Zoho will send a confirmation email to the address provided so ensure it is correct. Enter the password you want to use Your password should be between 6-60 characters Don’t use your Zoho username or email address in your password else it will be rejected Retype your password











Enter the visual code you see into the text box just above the code If you get the visual code incorrect, Zoho will display another code for you to try. Select the checkbox for “I agree to the terms of Service and Privacy To read the Zoho terms of service, click the Terms of Service and the Privacy Policy link. Click the sign up button.



If you entered all the information correctly, zoho displays a message telling you that a verification email has been sent the email address you provided and that you need to click the link given in that email to confirm your registration. If your registration is not confirmed, Zoho reserves the right to deactivate/delete it.



   

To sign up for the first time, Click the link in the confirmation email or copy the link and paste it into your browser’s address bar. A page will appear in your browser asking for your password. Enter your password and click continues. You see another page with a confirmation successful message Click the continue signing in button Zoho logs you in and displays the page below.





Click on any of the Zoho services displayed on the right hand column. The screen below is displayed. For this training, I will demonstrate with Zoho Writer. From here on, you can choose to create a new document.



Zoho enables the user to share a document with others and allow them to connect with it. When the user shares in Zoho, he/she gives others Access to that document so that they can view it or if you prefer work on it with the owner of the document-all in real time so that when one makes a change the document gets updated for everyone. Below is a screen short of the Zoho writer application.





To create your document-Type in the space provided just like you would in MS Word. Zoho saves your work as you type.





Choose to add individuals or a group of people then click share button. For instance, if you choose to add individuals, the following screen will appear. Select read and write under permission scroll down menu if you want the person to make changes to the document you shared. See the screen below: -

Close the window and the person you have invited will receive an invitation in their inbox. Using the link provided in the email, the person will be able to read and edit the document. Other applications you can use to collaborate besides Zoho Writer include: Chat, Discussions, Mail, Meeting, Projects, Share and Wiki
