Oracle Quick Reference Guide
:: Terminology
Equivalent in Cyborg, if applicable Your access level given at time of hire (HR, PR, etc) is comparable to your responsibility; the menus listed at the top of the Cyborg screen provided the screens to which you could navigate Quicklist which allows users to add their most frequently used screens to a list for easy access. N/A All responsibilities are set-up at the security level so there is no need to choose between different responsibilities Search Value Box that appears when searching a field which contains a large codes et (e.g. school code on the 30-SCR screen) Search for employees using the ‘Enter an Employee Button’, search for screens using the ‘Enter a Command’ (bullseye) button. Changing at least one Key Field and Hitting Enter saves all work and updates the record. If a non-key only field is changed, the record is overwritten. No message displayed if entry was saved. Error Messages displayed if errors occur. Numerous screens where dates are stacked on top of each other, with the oldest dates on the bottom and newest dates are on the top (for example, status history on the 09-SCR screen). Oracle terminology

Definition Displays the name of responsibilities you can select to perform business functions (ie Victoria HRMS Administrator); once you select your responsibility, this window will display the forms to which you can navigate A feature which allows users to add those forms most frequently used to a list for quick, easy access Allows you to choose from different responsibilities (HR, PR, Training, etc) if you have multiple responsibilities (have HR and Training responsibilities) Search criteria (%) which will narrow a long list of returned values (ex, if searching for people with the last name of Stevenson, you can type Steve% to return only those people whose last name starts with the letter string ‘Steve’. A way to search for a record based on specific criteria using the wildcard functionality (hit F11 to begin the query, use wildcard functionality such as Steve% to search for a value, hit Ctrl + F11 to execute the query) Update- most commonly used to reflect changes to a record; Correction – most commonly used to overwrite incorrect information Located at bottom of the Oracle application window. It displays status information about the current window or field such as ‘Transaction complete: 1 record applied and saved’ or ‘Invalid value for field Job_Name’.

A feature which tracks all historical, current and future dated information for many types of HR and payroll records across a span of time.

Special Information Types (SIT)

Indicates fields where Devereux can capture additional information required that is not otherwise tracked by the Oracle application. Examples of this are clearances, company property issued, STAP, training, etc A field that can include several sub-fields, or

Descriptive Flex Field (DFF)

Government Reporting Entity (GRE)

segments to house information required by Devereux that is not tracked in Oracle. Similar to SITs but slightly different from a technical perspective. A list of choices from which you can choose to populate a specific field (ex. Assignment category choices include client worker, FullTime 52 weeks, Full-time 41 weeks, Part time, etc) Found on the Statutory Information tab on the Assignment form, this field defines what EIN an employee belongs to within the Oracle Application Program/department- will be displayed as center name and department name (ex Florida Administration)

Code set where users can only populate a field by choosing a valid option in the list of drop down values. Defined by the Control-1 (01 = Devereux; 07=Cleo Wallace; 10=HFC; 03= Edward L French Vocational) Center is defined by the Control-2. Department is defined on the 05CSCR screen Both center and department can be found on the GG-SCR screen. Location Field on 05CSCR although this field did not indicate the actual street address of the work location; it did identify which campus/site an employee was located. HEDs such as 001 (regular pay), 560 (Benefit before tax), etc Defined by the Control 1-2 in which an employee resided (ex. 01420 is an employee in CA whereas 03420 is a client in CA) Direct Deposit information located on the H9-SCR screen

Location

Physical address of worksite. Oracle Payroll uses the location field to determine the employee’s work location for tax purposes. Represents different earnings types and deductions such as regular pay, pre-tax benefits, etc) for which an employee is eligible Defines whether the person is part of the Staff or Client payroll. Defines whether an employee receives a live paycheck, gets direct deposit, or receives a pay card (employees with pay cards will be listed with the direct deposit option but pay card will be indicated in the ‘further information’ field. Person types define what kind of connection or relationship the individual has to Devereux and whether or not the individual is eligible for compensation and/or benefits. The person types will also determine if the individual should be included in government reporting, such as EEO, New Hire and W-2 reporting. Someone who provides services for Devereux but is not paid through payroll and is not eligible for benefits ( created by using the ‘Create Placement’ Action Type) Defines a person’s status (e.g., Part-Time; FullTime 52 Weeks, Full-Time 41 weeks, Client Worker, Intern) Defines whether an employee is 41 week Hourly or Salary vs. 52 week Hourly or Salary.

Person types are identified by being in specific Control 1-2s (example –staff in 01, 07, or 10 control-1, clients in 03 control 1, and independent contractors in IC control-1 Independent Contractor keyed in the IC Control 1-2. Define in the Employee Status which is created on the 01-SCR screen for new hires (viewed on the 09-SCR screen) Defined in the Employee Status which is created on the 01-SCR screen for new hires (viewed on the 09-SCR screen)
