Engineeringcompaniesareresponsiblefordevelopingandproducingproductsand fordesigningandconstructingprojects.Theynotonlyneedtomanagetheiroffice documentsbutalsotheirdesigninformation.Designinformationistypicallycreatedby CADEngineers,butisusedbyothers.CADEngineerscreatethedrawingsandthe detaileddesignsthatareneededtomanufactureproductsandequipment,ortobuild buildings,infrastructure,plantsandinstallations.Whenthisdesigninformationis released,itisusedbythepeoplethatactuallymanufacturetheproductsorbuildthe buildings,likeplanners,productionemployeesandconstructionworkers,orfor instancebypurchasersresponsibleforbuyingthenecessarypartsandmaterials. IntheAEC(Architecture,EngineeringandConstruction)andotherprojectdriven engineeringindustries,peoplecollaborateinprojectteams.Theseprojectteams consistofpeoplefromdifferentdisciplinesandwithdifferentexpertises.Theycan comefromdifferentdepartments,officesandcompanies.Tocollaborateefficiently, projectmembersneedtoeasilyshareandexchangeinformation,likeCADdrawings andotherengineeringdocuments. TherearemanydifferentCADapplicationsthatarebeingusedbyengineering companies,likeCADapplicationsfor2Ddrawingand3DmodellingandCAD applicationsforspecificdesignpurposes,likearchitectural,mechanicalorelectrical designing.Inmanyprojectsoftenacombinationofdifferentapplicationsisneeded, andasaresultmultipleCADapplicationsarebeingused.Alltheseapplicationshave theirownproprietaryfileformatsandtheirownwayofintegration.Thismakes managingthedifferentCADfilesandintegratingdifferentCADapplicationsinoneand thesamemanagementsystemacomplexissue. InpracticeweseethateveryCADapplicationvendorhasinfactdevelopeditsown EngineeringDocumentManagement(EDM)orProductDataManagement(PDM) system.InsomecasesweevenseethatavendorofmultipleCADapplicationshas developedseparatesolutionsforeachapplication,withoutproperintegrationbetween them!BecauseofthisthereisnoEDMorPDMsystemavailableinthemarkettoday thatoffersdeepintegrationwithdifferentCADsystemsfrommultiplevendors. Asaresult,organizationsandprojectteamsthatworkwithmultipleCADsystemsare facingaseriouschallengewheretheyneedaflexibleanduserfriendlysolutionfor engineeringdocumentmanagement. SharePointisintroducedbyMicrosoftasapowerfulplatformforEnterpriseContent Managementandcollaborationacrossboundaries.IteasilyintegrateswiththeIT infrastructureofanycompanyandprovidescompaniesacentralandsecured environmentinwhichtheycanshareandexchangedocuments.Thismakes SharePointveryinterestingfortheAECandotherprojectdrivenindustriesthatarein needforsuchplatform.Buttoprovideasolutionforengineeringdocument management,SharePointneedstobeabletostoreandmanagedesigninformation.

Forengineeringdocumentmanagement,SharePointneedstostoreandmanageCAD filesandtointegratewiththedifferentCADapplications.Today,SharePointalready providesthepossibilitytostoredifferentkindsoffilesandtolaunchtherelated application.ButthisisnotsufficientformanagingCADfilesproperly.
CADfilesarecompoundfileswithreferencestootherfiles,blocks,images,etc.Itis importantthatnotonlytheCADfile,butalsothesereferencesareproperlymanaged. OftenmultiplepeopleareworkingsimultaneouslyonthesameCADfileandits references,andwhenfilesareupdated,alsothereferencesneedtobeupdated. TherelationshipbetweenaCADfileanditsreferencesisstoredwithintheCADfile (e.g.AutoCAD,MicroStation)andsometimesadditionalreferencesarestoredinan externalfile(e.g.projectfile)ordatabase(e.g.ADT,Civil3D,Inventor).Thismeans thatanEngineeringDocumentManagementsystemcanonlymanageCADfiles properlyifitisableto“read”thereferenceinformationandifitisintegrateddeeply withtheCADapplicationusedtocreateandedittheCADfiles.

Viewsofadesignaremostlyusedto“translate”thedesigntoadrawingonphysical paperwithitsownversioninglogic.Thismeansthatonedesigncouldcontainmultiple drawings,eachwithadifferentversion.AnEngineeringDocumentManagement systemshouldbeabletomanagetherelationshipbetweenthedesignandthe differentversionsofthedrawingsderivedfromthedesign.
ACADdrawingincludesatitleblockareawithinformationaboutthedrawing,like drawingnumber,projectnumber,description,revisionnumber,etc.Thistitleblock informationisoftenusedasmetadata,andneedstobekeptup-to-date.Themetadata ofthedrawingcanchangeandasaresultitshouldautomaticallybesynchronized withthetitleblockinformation.AnEngineeringDocumentManagementsystemshould beabletoderivetitleblockinformationfromadrawingandmapitwiththemetadata.
CADengineersareresponsibleforcreatingthedrawingsanddesigns,whileothers areusingthesedrawingsintheirwork.ToopenandviewCADdrawingsanddesigns, theseuserswouldneedtohaveaccesstotheCADapplications.However,CAD applicationsarenoteasytouseandaretooexpensivetoprovideaccesstoeveryone. ThereforeoftenintegratedviewingapplicationsareusedtoopenandviewCADfiles, withouttheneedfortheoriginalCADapplication.AnEngineeringDocument ManagementsystemshouldthereforeincludeaviewertoallowuserswithouttheCAD applicationtoopenandviewCADfiles.
Nowadaysnewprojectsoftenstartin3DCADapplicationsbycreatinga3Dmodelof theproductorproject.IntheAEC,BuildingInformationModelling(BIM)istheprocess inwhichAECcompaniescollaborateina3Dmodeloftheirproject.Anexampleofa popular3DCADapplicationusedtocreateaBIMisAutodeskRevit. InaBIMproject,a3Dmodeliscreatedthateventuallydeliversthenecessarydata andinputtoallprojectmemberstoperformtheirtasks.TheultimategoalofBIMisthat everyprojectmemberisabletoworkfromthe3Dmodel.However,thisisnotalways possible.Toperformcertaintasks,often2Dviewsorsectionswithmoredetailsare needed.Furthermoreadynamic3Dmodeldoesnotalwaysprovidethelegal foundationonwhichcontractsandagreementscanbebased.Asaresult,snapshots ofthe3Dmodelare‘frozen’intodocuments,like2Ddrawings,specificationsandthe QuantityTakeoffs(QTO).Thesedocumentsareextractedfromthe3Dmodel,on whichcontractualagreementsarebasedandwhichcanbeusedbytheproject memberstoperformtheirtasks.

TointegrateSharePointwithCADapplications,integrationmodulesareneededfor thedifferentCADapplications.MicrosoftdoesnotprovideCADintegrationmodules forSharePoint,andshedoesnothavetheintensiontodoso,sinceshelacksthe necessaryknowledgeandexpertise.ThereforetheseCADintegrationmoduleshave tobedevelopedbyothers. TherearemanyCADapplications,likeapplicationsfor2Ddrawingand3Dmodelling andapplicationsoradd-onsforspecificdesigning,likearchitectural,mechanicalor electricalCAD.TheseCADapplicationsareallverydifferentandtheyallhavetheir ownproprietaryfileformat.Understandingallthesefileformatsandunderstanding howtointegratewithalltheseCADapplications,requiresahugeeffort.Andnotonly todeveloptheintegration,butalsotokeepitup-to-datewithnewversionsoftheCAD

applicationsandfileformats.Forthatreason,itisimpossibleforasinglesolutionto integrateSharePointwithallpossibleCADapplications. ForanumberofCADapplicationssolutionshavebeenintroducedthatintegratethese applicationswithSharePoint.Butthemajorityofthesesolutionsonlyfocusonone CADapplication,makingthemnotsuitableforengineeringcompaniesorengineering projectteamsthatusemultipleCADapplications.Inaddition,thesemodulesoften provideasolutionforCADEngineerstomanagetheirCADfilesinSharePoint,but theylacktheproperengineeringdocumentmanagementfunctionalityforusersto workwiththesefilesefficiently.
TomanageCADfilesproperly,mostCADvendorshavedevelopedtheirownData Managementsolution(PDM).TheyknowbestthestructureandcontentoftheirCAD filesandtheyarebestequippedtodevelopasystemtomanagethesefiles.Other (independent)suppliersareinmostcasesnotabletodevelopasimilarhighlevelof integration,becausetheylackthisexpertise. AnumberofvendorsofPDMsystemshavenoticedthebenefitsofSharePoint, especiallyintheareaofsharingdesigninformationwithotherinternalandexternal users,whichtheydonotaddressthemselvesverywell.Theyarecurrentlyintegrating theirsolutionswithSharePointandareabletostoretheirCADfilesintoSharePoint, whilethesefilesarestillmanagedinthePDMsystem.Otherusersarethenableto findandretrievethesefilesfromSharePointwithouthavingtousethePDMsystem. ButalsointhiscasetheseusersarethenmissingtypicalfunctionalityinSharePointto workefficientlywiththeseCADfiles.
SharePointprovidesapowerfulplatformforinformationsharingandcollaboration acrossboundaries,andisthereforeseenasasuitableplatformforprojectdriven engineeringcompaniestomanage,shareandexchangetheirprojectdocumentation. ButtomanageallengineeringprojectdocumentationincludingCADfiles,SharePoint out-of-the-boxismissingtheintegrationwithCADapplicationsforCADEngineersand typicalengineeringdocumentmanagementfunctionalityfortheusersofCADfiles. SoifyouareconsideringmanagingyourengineeringdocumentsinSharePoint,you shouldfirstfindoutifSharePointiscapableofintegratingwiththeCADapplications youareusing.Dependingonyoursituation,SharePointcaneithermanageyourwork inprogressandyourreleaseddocuments,oronlyyourreleaseddocuments.

Wheredifferentpartiescollaborate,weoftenseethattherearebigdifferencesinthe levelofITautomationbetweenthedifferentparties.Whereoneisabletoworkfully digital,theotherstilldependsonpaper.Whenacompanythatworksfullydigital receivesinformationonpaper,ithastobeabletoscanthisinformationandmakeit centrallyanddigitallyavailablewithallprojectinformation. CADfilescandirectlybeopenedfromSharePointintheirCADapplication.Through theOrganicetoolbarinstalledintheCADapplication,drawingsanddesignscan directlybesavedandstoredintoSharePoint,includingreferencefiles(e.g.XREFs), blocksandimages.TherelationshipbetweentheCADfileandreferencefilesisalso managedinSharePoint. WithOrganiceExplorer,SharePointmetadatacanbemappedwiththetitleblock attributesintheCADdrawing.Whensavingthedocument,themetadataandtitle blockattributesareautomaticallysynchronized.AndevenwhenSharePointmetadata isupdated,OrganiceExplorerisabletoautomaticallysynchronizeitwiththetitleblock informationintheCADfile. ForusersthatdonothaveaccesstoCADapplications,OrganiceExplorerhasan integratedviewertoviewCADfileswithouttheCADapplication.Over250differentfile formatscanbeviewed,includingcompounddocumentslikeCADdrawingswith referencefiles(e.g.XREFs).Theintegratedviewercanalsobeusedforredliningand tocomparedrawingsanddrawingrevisions.AlsoadditionalviewerslikeAutodesk DesignReviewcanbeusedtoviewspecificCADfileformatsinthemostoptimalway.

OrganiceTransmitdistributesmultipledocumentsefficientlytomultiplerecipientsat onceandoffersmanagementinformationtodocumentcontrollerswhoneedtokeep trackoftransmittals.Adistributionmatrixspecifiesexactlywhichrecipientneedsto receivewhichdocuments,andhowmany,andadistributiontrackinglistinSharePoint keepstrackofwhoreceivedwhatandwhen.Userscaneasilycreatedistribution matricesbyqueryingdocumentsandrecipients.Whendocumentsareupdated, OrganiceTransmitautomaticallynotifiesthedocumentcontrollerwhichrecipient needstoreceivetheupdateddocuments.
WithOrganiceScanincomingcorrespondenceandotherhardcopydocumentscanbe scannedandstoredintotheSharePointdocumentenvironment,makingall documentscentrallyanddigitallyavailabletoallusers.OrganiceScancanbeusedin combinationwithanyscanningdevice,includingsmallformatandwideformat scanners,standalonescannersandmultifunctionaldevices.
OrganicePublishcanpublishdocumentsthatarestoredinSharePoint.Documents canbepublishedintheirnativeformat,buttheycanalsobeconvertedintoPDFor DWF,sothattheycaneasilybeopened,viewedandannotatedbyotherswithoutthe nativeapplication.Publisheddocumentscaneasilybedistributed,accuratelyprinted andsecurelyarchivedformanyyears.OrganicePublishcanbeinitiatedatanytime throughacustomSharePointworkflow,forinstancetopublishdocumentstoany documentlibraryorSharePointsitefordistribution,printing,archivingortoanextranet forexternalaccess.
