1.INTRODUCTION
“Payroll Management System” software developed for a company has been designed to achieve
maximum efficiency and reduce the time taken to handle the Payroll activity. It is designed to
replace an existing manual record system thereby reducing time taken for calculations and for
storing data. The system is strong enough to withstand regressive daily operations under
conditions where the database is maintained and cleared over a certain time of span. The
implementation of the system in the organization will considerably reduce data entry, time and
also provide readily calculated reports.The “Payroll Management System “is based on the salary
activity for each company staff depending on their attendance. The first activity is based on
saving the employees details where each employee will be given a unique Employee ID. The
Admin only has the authority to enter the number of leaves available for leave type and for each
employee. When ever an employee wishes to take a leave, he is supposed to enter his employee
Id. As soon as this is done, he has to select the leave type like casual leave, providential leave
etc. Depending on the leave type the number of leaves available will be shown. The employee is
supposed to enter the number of leaves he needed and it will be saved in the database. In the
meanwhile, the no of leaves available will be deducted depending on the no of days he wished to
take a leave. Now based on the no of days an employee attended, salary will be calculated and a
separate salary slip will be provided for reference.Admin has the authority to add employee
details. And he also has the right to edit or delete employee information to/from the list. Admin
provides a unique username and password for each employee through which he can login and
apply for leave. All the information’s are being saved in the database.

1.2 Objective of study
The objective of the system is to maintain the record of employees of an organisation.An
employee can easily vie their salary and leave sheet without actually going to office.It reduce the
time and effort of an employee.
Payroll management system performs the following functions
 Manage Employee Information Efficiently.
 Define the emoluments, deductions, leave etc.
 Generate Pay-Slip at the convenience of a mouse click.
 Generate and Manage the Payroll Processes according to the Salary Structure assigned to
the employee.
 Generate all the Reports related to employee, attendance/leave, payroll etc.
 Manage your own Securit
1.2 SCOPE OF THE PROJECT
This project is helpful in calculating the salary for each employee and it also focuses on each
employee’s attendance and the number of leaves taken per month/year. There is also a possibility
of checking salary report at any time so that it doesn’t lead to any miscalculation.

 gross pay calculation (basic salary, wage supplements, occasional payments)
 calculation of payroll related taxes and contributions;
 preparation of payroll slips and other outputs broken down by employees or by cost centers
for managerial and operational use;
 data recording and processing in connection with voluntary pension and health insurance
funds, reporting to the pension funds;
 recording of wage and labour-related data (registration of personnel information, holiday and
sick leave balances);
 providing data and information for posting into the General Ledger;
 data reports and certificates related to payroll processing.

1.3.1 Roadmap of System analysis
The block diagram represents the payroll management system of an organization.first step of a
users is to register themselves so that they can have their personal account that will hold all the
information. Employees can view their salary sheet and leave update records.Admin will
maintain the records of the employee which includes addition,deletion,updation of the records.


1.3.2 System Design
This project implements object oriented approach. Object-oriented or object-orientation is
a software engineering concept, in which concepts are represented as objects. Object-oriented
design is the process of planning a system of interacting objects for the purpose of solving a
software problem. Use case models, DFD and ER diagrams will be made.
1.3.3 System Development
Payroll management system helps in many ways such as it provide many useful services like
maintenance of employees record which include addition,deletion,updation of employees record
of an organization.An employee can check his/her salary sheet record and leave update record.In
payroll management system employees can view their salary sheet and leave record.Employees
first must register themselves and then a unique id and password is given to them.By doing this
simple step each employee will have an account.An account of an employee will hold all the
details of an employee’s salary,number of leave,payslip,attendance.

1.4 METHODOLOGY
1.4.1 DATA COLLECTION
1.4.1.1 PRIMARY DATA COLLECTION
Primary data collection concerns tailored data collection by the user of that data. For health
assessments, it can take many forms, depending on whether you seek information from experts
or the public about the private health sector organization or environment. Observation, surveys,
key informant interviews, and focus groups are the main primary data collection tools, although
many other tools exist.

1.4.2 METHODOLOGY USED FOR SYSTEM ANALYSIS

The Waterfall Model of Software Development Life Cycle has been used for the
development of this project. It is the simplest and most basic approach used to develop
software wherein each phase has a well defined starting and end point.

1.4.2.2 REASONS FOR CHOOSING THIS MODEL


1. It follows a disciplined approach. This method is also well known amongst the
software developers therefore it is easy to use. It is easier to develop various software
through this method in short span of time.
2. After every cycle a feedback is provided to the other phases of the system.
3. They are effective in the situations where there is no confusion about the functionality
of the final product .i.e. all the requirements about the system are known in advance.
