Hi Basava, Overlap among these projects if effectively limited to these aspects:






All email templates are to be maintained in the Email Templates page created for the Outlook integration project (this is a change in the specs in order to provide a cleaner user experience--no need to integrate templates into the Admin Email Settings page, saving you time). These templates are accessible when sending/replying to/forwarding emails in any instance (however default templates are given or recommended based upon task as part of the Notifications spec). Ability to assign templates to tasks (Admin and Notifications specs).

There is distinct functionality called for in the Admin project and Notifications projects that do not apply to the Outlook integration project. These will have to be integrated into the Templates page created for the Outlook spec as part of using the single page, but it will less overall programming for you, as everything will happen from one central page. Best, Ben All pages in WinREO will have a link to “Send New Email.”  Clicking the link opens a new email in Outlook.  Templates can be used to prevent users from having to type an entire email – for more on templates see Section 6.  If a new email is opened from within a task, a list of applicable templates is opened for the user to select. Of course, they can choose to not use a template, or can use any other existing template that is not on the list – these are purely recommendations based on where the user is in their workflow.  Each email sent from WinREO is stored in the Sent Items page. Administration Page Project Buyer Leads Page Only o Once “Agent Assigned” field is selected and user clicks “Save,” a confirmation email is automatically sent to the agent that has just been selected. There will be a default email which can be created and/or modified in the Admin Email Settings Admin Page. The Subject Line will

also be created and/or modified on this page. There will be a pulldown with On/Off options, with Off being the default. This means that no automatic email notification will be sent until the admin has gone to the admin page, set up the template, and selected On from the pulldown. For now, until admin updates the page you can use for the emails:  Subject Line – Buyer Lead for {Property Address}  Email content – Hi {Agent}, You have a new buyer lead assigned to you for the above‐referenced property. Contact information is below. Thanks! o If this related scenario is currently set to “Off” in the admin page, a popup notification appears when user clicks “Save” after adding the new buyer lead entry notifying them that “Email Notification is off.” However, the entry can be saved anyways.

Email Notifications – Part 2
Enhance the following tasks with additional functionality. There will be a default email for each scenario (template) which can be created, and/or modified in the Admin Email Settings Admin Page. The Subject Line for each email notification will also be created and/or modified on this page. Each scenario/template will have a pulldown with On/Off options, with Off being the default. This means that no automatic email notification will be sent until the admin has gone to the admin page, set up their templates, and selected On from the pulldown.  Scenario 1 – Request and Receive Bids and photos – ability to email 2 or more contractors selected letting them know they need to provide bids. Record the email in WinREO comments. All with a click of one button. i. User selects which vendors they want to request bids from (using pulldown). After at least one vendor is selected, a button appears to “Email Vendors.”  Scenario 2 – Assign Work to Contractor – ability to email the contractor letting them know they got the job. Record the email in WinREO comments. All with a click of one button.

i. “Email Vendor” button is in the task.  Scenario 3 – Process Offers – there will be checkboxes for each document that must be submitted with an offer. These will be Earnest Money Deposit, Proof of Funds, Pre‐ Approval Letter, Offer Submission Addendum, and Articles of Incorporation/Organization. The user will check whichever ones the buyer has already submitted. A new button will be created called “Email Agent.” Once the user clicks “Email Agent” the buyer’s agent will be receiving an automatic email notifying them of which documents they are missing, where to submit them, and a deadline. Note that this will not work until the admin creates the template in the admin page and turns this notification/scenario “On.” Example subject line and email are below, to be used temporarily until the admin updates it: i. Subject Line: Missing Items on your Offer on {Property Address} ii. Hi {Buyer’s Agent}, Your offer is missing the following documents:  Proof of funds  Signed page 8 Please submit these documents to me today.  Scenario 4 – Notify Agents of Accepted Offer – ability to automatically send an email notification to all agents who have submitted an offer on the property, EXCEPT the agent who’s offer was accepted. A new button will be added to this task called “Email Agents.” Example subject line and email are below, to be used temporarily until the admin updates it: i. Subject Line: Another Offer has Been Accepted on {Property Address} ii. Hi {Buyer’s Agent}, Please note that the seller has decided to proceed with another offer. Thank you.  Once user clicks the Email Vendors/Agents button in either task (when the email is supposed to be sent), a popup appears with the email, which has been taken from

the template. There will be one email per recipient. The email can be updated, before the user ultimately clicks the “Send Email” button. If there is no email address assigned to the selected vendor (taken from Manage Companies page), user gets a popup notifying them of this. They can then enter the vendor’s email address, which will then be automatically added to the vendor’s contact info in the Manage Companies page.  If this related scenario is currently set to “Off” in the admin page, a popup notification appears when user selects Email Vendors/Agents notifying them that “Email Notification is off.” The email should not be sent until the scenario is turned on.
