Document Assignment to Codes
Documents can be assigned to a code within code maintenance (such as transaction QS41).
Technically the new transaction QS41D is called via the buttons.
The transaction for assigning DMS
records can be called for single
codes or an entire code group.

If the transaction is called for individual codes, the DMS records can be maintained directly.
Basically one or more DMS records can be assigned to a single code.
The assignment of DMS records to codes
is not connected to Customizing transport requests.

Automatic Refresh of Notification Lists
New User Parameter to Trigger the Refresh
A new SET/GET parameter ID QM_QN_AUTO_REFRESH containing a Boolean value is available to
support user-specific control. This means that only if the Customizing switch and the user parameter are
active, will an automatic refresh be triggered after an object call from the list.

The flag “Final” for several implementing classes of the BADI
BADI_PLM_AUDIT_LIST_ITEM_TYPES has been initialized, so that customer
implementations for an list item type can inherit from the standard classes.

Audit Management with SAP
KPro Enabling with SAP NW 7.40
Motivation
Currently, Audit Management with SAP uses BDS (Business Document Service) for attaching documents to
an audit or its components. BDN (Business Document Navigation) is used to display an attached document.
However, compared to other tools for document handling BDS has
limited capabilities and can also be seen as not so user-friendly.
As a reasonable alternative, KPro is recommended for storing
documents as it is applied in other SAP applications.
Additional features that KPro provides and are beneficial for
Audit Management:
 Creation of a document directly within the application
 Export (checkout) function
 Embedded editing within the application

In order to provide flexibility and enable better performance, the goal was to enable the KPro
approach also for Audit Management as an alternative option.

What is new with KPro in Audit Management?
With the new development, it is possible to…
 use KPro for attaching documents to an audit
or its components (audit, audit plan, question
list, corrective and preventive action). This also
includes the provided functions (part of KPro)
of display, edit, versions, and properties.
 decide at client level whether or not KPro is
used for assigning documents to an audit or
audit components.
 define directories and subdirectories for the
bundling of documents for an audit / audit
component via the structure tree.
 import a document as an attachment to an
audit or an audit component via the structure
tree.
 create documents of different MIME types for
an audit / audit component directly via the
structure tree (e.g. txt, pdf, Word, …).
The possible MIME types are defined via KPro
configuration, i.e. not new functionality for Audit
Management.




 delete an assigned document from the structure
tree within the audit cockpit.
 display an assigned document within the audit
cockpit (in-place).
 display an existing BDS-based document within
the audit cockpit also after activation of KPro
storage.
 switch to edit mode for a given document directly
from within the audit cockpit.
 change the properties of a document assigned
to an audit / audit component.
 check out / check in versions of documents
within the audit cockpit.
 view the versions of the assigned documents
within the audit cockpit.

Preview presents the given document in-
place – this is for display only. For editing, the

Properties of the document or directory are
dependent on the KPro setup (e.g. also on the
used document server).
KPro is able to handle several versions of a
document. So when changing a document,
the user can decide whether to update the
existing version or create a new one.

 Most of the changes are delivered automatically with EHP7 (enhancement package 7 – EA_APPL 617)
and Suite on HANA (EA_APPL 616). You do not need to activate a business function.
 Most enhancements must be activated in QM Customizing at client level (shortcut: transaction QCC0).
The function is reversible. Check corresponding Improvement Note 1729128.
 A download of most of the functions to lower releases (< EHP7) has been done. Check available
down-ports of Improvement Notes on SAP Service Marketplace via xSearch (keyword “CustConn”) or
via the Improvement Finder www.sapimprovementfinder.com.
 If developments are to be installed before the Support Package (SP) is available, the relevant
Improvement Notes must be implemented separately (relevant Support Packages SAP_APPL 600
SAPKH60023, 602 SAPKH60213, 603 SAPKH60312, 604 SAPKH60413, 605 SAPKH60510, 606
SAPKH60606, 616 SAPKH61601)
 For technical reasons, some enhancements are provided by implementation notes and interface
notes. For releases < EHP7 only interface notes will be provided by the SPs.
If – in addition – implementation notes exist, these notes must be installed separately in addition to
the interface note.
 For Audit Management, development is done in SAP NW 7.40, a down-port to SAP NW 7.31, SP06
has been done (see Improvement Note 1756906).
