A PROJECT REPORT ON SALES AND PURCHASE MANAGEMENT SYSTEM OF BIKES Developed by RUPESH MISHRA DHANANJAY SINGH DEPARTMENT OF BACHLOR OF SCIENCE (INFORMATION TECHNOLOGY)

PREFACE
The Sales and Purchase management system deals with the details of maintaining the supplier and customer details, maintaining history of the customer. The front end of the system has been developed in Microsoft Visual Basics 6.0 Enterprise Edition and the back end has been developed in Microsoft Access. The project aims at reducing the complexity of storage and updating of information. The system is developed in such a way that the user can conveniently work on it. The stored data can be easily retrieved using some search parameters. Also the system reduces the time spent on the calculations of bills. The project will replace the manual system with a computerized one.

COMPANY PROFILE

Our company EXCELLENT MOTORS is a dealer of TVS bikes. It is situated at Andheri, Mumbai.

The company deals with sales and purchase transaction on various types of TVS bikes. It delivers the bikes to the sub dealer and also directly to customers.

This company has major sub dealers as their customers and their transactions occur on regular basis.

EXISTING SYSTEM
 The existing system is a manual system.  All kinds of work are carried out manually by the employees of the organization.  It involves lot of paper work.  Separate registers are maintained for keeping written records of Bill, Stock, purchase, sales and final reports. Customer register  It stores information about all the customers and sub dealers who has purchased a bike from the company Purchase register  This register gives information related to purchase of bikes from the manufacturers of TVS bikes. It includes all the purchase orders. Sales register  It has the details of sales made, number of products sold and at what price. In this all entries are copied from bill books which increases the redundancy. Bill register  Separate bill books are maintained in which all the information related to the bike sold is written by the cashier. Stock register  It has the details of the stocks, product name and quantity of product available.  Once the customer gives the final order a written bill is handed over to the customer and the copy of same is kept for the records. After each sale the sold out product is tricked off for or cancelled from the stock register.

PROPOSED SYSTEM
The system which we have proposed is a sales and purchase management system. It reduces the man power requirement and it is comparatively faster than the existing manual system. The accuracy is very high.

Interlinked files are used to maintain the data which leads to easy retrieval of data and source storage of data. Any changes made in the any file will appear in other file which leads to saving of time and easy retrieval of data.

This involves the customer communication at every stage but we also take care that it should not be time consuming. Sharing of data can improve inter communication, team efficiency, time efficiency and team management. Customer details are stored for future reference. For the first time as the system which is proposed will be difficult to use but later on it will be very simple and useful.

For security purpose we have provided a user name as its id and password which will be known only to authorized persons in an organization. The proposed system also has the following criteria’s:  Possibility of improving the attainment of organizational goals.  Practical in terms of resources for system analyst and organization.  Project is worthwhile compared to other ways organization could invest resources.  It will also see that the existing system will overcome or eliminate all the pot holes of the existing manual system.  It will also handle all the transaction that are required by the company.

ADVANTAGES OF PROPOSED SYSTEM
 It is very easy as compared to manual system as everything becomes automated.  No separate registers have to be maintained as all records can be stored inside system. Thus paper work is removed.  It reduces the work load, saves man power and time.  Manual work is almost reduced to zero.  It is cost beneficial as it reduces the money spent on the employee (salary) for maintaining records in the registers.  It is an economical system.  Processing a particular sale is faster, efficient and accurate.  It helps in optimal use of resources.  Stock updating becomes very easy, huge amount of stock can be stored and stock availability can be checked in few seconds.  The bill which is generated will have all details like product details; order details date challan details etc.  The system will cover all the required records in greater details.  User can use it very efficiently and training is provided.  Provide better information and services to supplier and customer.  It develops new business model products or services for the customer.  Bill is being generated automatically which increases the efficiency as compare to the manual system.

SYSTEM REQUIREMENTS:
Management System is software developed using Microsoft visual basic 6.0and Microsoft access 2000. Therefore minimum system requirements to run the software are as follows:  Pentium 1 or higher processor.  64MB RAM  200MB HDD space free  Printer  Microsoft access 2000 Following is the recommended system requirements:  Pentium 2 and Higher processor  128MB RAM  400MB RAM  Printer  Microsoft Access 2000  Color VGA Monitor
