ENTERPRISE FILE
SHARING AND SYNC
Background
Enterprise file sharing and sync (EFSS) tools enable efficient sharing of files
within and outside organization. EFSS tools are changing the way end users
access, manage and share files – a huge shift from prior file access and
sharing approaches through email attachment, NAS or file server or FTP
server. The emerging technology for file sharing is expected to improve
collaboration irrespective of where people are located.
Now IT has two options to deploy the latest file sharing technologies:
signing on a sharing-as-a-service with one of the EFSS service providers or
deploying EFSS software internally in the data center. The main difference is
that in case of on-premise solution the end user data stays within the
control of the data center.
IT organizations cannot opt out of this trend as many consumer-style file
sharing tools are making inroads into corporate work culture. Proliferation
of enterprise-connected mobile devices is constantly straining IT security
resources. With the consumerization of IT and bring-your-own-device
(BYOD) initiatives, end users are expecting to access and share business
information constantly. Data managers are increasingly concerned about
data landing at the wrong hands.

What’s in it for IT?
Thanks to the increasing penetration of smart devices, File Sharing and Sync
is now an integral part of collaboration and communications. However,
consumer-style sharing tools are only the entry points to the ever evolving
data mobility paradigm, and for corporate IT, it brings with it associated
complexity, risk of data loss and security hazards.
Visibility and control over files-on-the-move are major concerns for data
managers. New tools that deliver mobile device management, mobile
content management, and mobile application management are emerging.
But, these new capabilities without end-to-end security and control can be
complex, expensive and ineffective.

However, file sharing tools offer significant cost and resource savings for IT, which is already
mired in stringent cost-cutting measures. Now large file attachments over email can be
replaced with secure links thus making a file server or a FTP server redundant. File sharing
tools have the capabilities to even replace entry-level NAS or file servers in remote offices,
making a good business case for remote data management and control.

Enterprise File Sharing
Easy Sharing with Links
Vaultize allows users to selectively share files or folders without IT losing visibility or control over the data. The files shared
within the organization are made available to individuals on their own devices (through Vaultize client software agent) —
even beyond firewall, and without the need for VPN. For sharing with outside parties, Vaultize allows end users to share a
secure link which can be accessed using any web browser. With Vaultize, it is easy and quick to share even large files
without FTP or email attachments. Vaultize generates a secure web link (URL) for a file or folder that can be shared with
the recipient(s) for instant access to the data.
Additionally, the files or folders can be secured through multiple policies such as password protection, auto-expiry, Geo/IP
fencing and many more policies for greater control over access to the data. The recipient will be able to access and
download files (if permitted) through web browser — providing an efficient way to collaborate with people both inside as
well as outside the organization.

No need for FTP Server (FTP Replacement)
Vaultize makes network shares, file servers, FTP servers or a NAS device redundant, thereby reducing the storage burden,
saving time and budgetary resources for IT organizations. Vaultize helps IT administrators to consolidate user data to data
centers or the cloud, while providing value add through enhanced data protection and information governance.

Outlook Plug-in
The Vaultize Outlook Plug-in smartly detects attachments in the email and moves the files to the Vaultize server, while
replacing it with a secure link for recipients to download. This allows enterprise IT to save bandwidth and storage space,
reduce size of PST and mail server, and helps build efficiency and security in file sharing. These links can be controlled the
same way as sharing links including policy based access, fencing and document viewer.

Unlimited groups
With Vaultize, the users are allowed to create any number of groups (or teams) for file sharing. Creating groups within
Vaultize is a breeze and involves only one step. An extensive list of users can be easily created through the integration with
AD or LDAP; and the users can be tagged to one or more groups.

Role-based access rights
With Vaultize, the users are enabled to provide file access rights to others in the group, such as read, edit, manage etc.,
based on various criterion. The access rights allow a user to fine tune the collaboration and control as to how other users
access the data. However, the administrators can change these rights at any time.

Built-in conflict management
If two or more users are working on the same file, there could a conflict when they try to save the same file at the
same time. In such a scenario, Vaultize saves each version separately (with timestamps) and notifies all the users
about the conflict.

Offline access
When combined with the sync function, Vaultize allows end users to access files from the group share, when not
connected to the network. Users can choose any file or folder from any of the groups they are part of and request Vaultize
client software to keep it in sync with a local folder for offline access.

Policy-based control on shared links
Vaultize’s policy-driven file sharing facilitates to apply stringent policies while sharing links with external recipients (i.e.
outside organization network). The shared links can be protected by applying password for access, ensuring expiry date
for access, restricting to specified email addresses, notifying the sender about access, tracking access based on geography
or IP address or time of access of recipients, thus ensuring better control over file sharing. Advanced access controls from
Vaultize allows administrators to provide access rights based on multiple criterion such as geographical location of end
users, IP addresses, and time of access.

Online document viewer
Online Document Viewer from Vaultize allows administrators to manage and control the file access via visitor’s link and
ensure what action can be taken by the end user. It allows the users to restrict visitors to just viewing the document and
not being able to download it. In the document viewer, users and administrators can control if the visitor can print the
document, copy-paste content and so on.

Policy for attachment replacement
Vaultize enables administrators to choose and manage policies that replace large attachments. These policies can be
flexibly moderated based on size of files, type of recipients, type of senders (author), and location of recipients.

Cloud-in-a-Box Appliance

or VM). For a higher configuration, a highly-scalable cloud can be implemented using multiple servers and storage
options (including storage from cloud providers).
