CHESTERFIELD VILLAGE HOMEOWNERS ASSOCIATION, INC. Minutes of the Board of Directors Meeting The Board of Directors of Chesterfield Village Homeowners Association, Inc., a Missouri nonprofit corporation, held its monthly meeting at the Chesterfield Village Homeowners Association Clubhouse in Springfield, Missouri on August 4, 2008 at 7:00 pm, pursuant to the notice posted at the association clubhouse. The following Directors of the Corporation were present: Linda Becker, Lora Turnage, Steve Webb, Diana Deford and Julie Mason, Absent: Tyler Smith and Jay Jones. Also present was homeowners Carolyn Johnson and Suzie Brothers. OLD BUSINESS Secretary’s Report Minutes from the July 14th meeting of the CVHA Board of Directors were read. After a couple of minor revisions a motion was made by Diana Deford to accept the minutes and was seconded by Lora Turnage. Motion passed. Treasurer’s Report Payments made to this summer’s pool monitors included: • Rhonda Dyer - $105 for one week • Mary Becker - $329 for six weeks • Diana Deford - $21 for three hours Checks were presented for signatures in payment of $31.99 for an adjustment on Federal taxes and for $1,356.54 to All Brite Pools for three weeks of pool services. An invoice from DC Lawn Services was received in the amount of $2,150 for mowing services through July 31. Julie Mason also received notice from Modern Tractor & Supply Co. that the lot payment for the four lots in front of the clubhouse was overdue after July 1 in the amount of $4,000. Julie shared with the Board that one final payment of $4,000 would be due in 2009, and then the deed of ownership could be transferred to the association. An invoice in the amount of $54.54 was received from Sechler Electric for fixing the timing switch on the pool lights. An invoice in the amount of $1,332 was received from the attorney for legal services on the drainage issue at 2341 West Westview. Julie mentioned that no additional payments had been received on the 4 outstanding CAMS dues and the $100 balance from one property owner who was making installments. Linda Becker mentioned that she needed to meet with the assessor’s office before a lien could be placed on the properties and to determine legal costs involved compared to balances owed. The P&L Statement and Balance Sheets were reviewed. A motion was made by Diana Deford and seconded by Lora Turnage to transfer $11,000 from the money market account to the checking account, in order to cover anticipated monthly expenses through the end of the year.

Common Grounds No new information to report. Tennis Courts Steve Webb has set a date for August 23 at 9:00 am to power-wash the tennis courts. Linda Becker to mention this in the newsletter and request additional volunteers. Clubhouse Rentals have been scheduled for 8/2, 8/22, 8/23 and 9/13. Payment had already been received for the rental on 8/2. Diana Deford raised a question from a homeowner about residents using the clubhouse at no charge for a block party. After some discussion, the Board agreed to table this item until a future meeting. Linda Becker discovered from the original provider of the soda vending machine that a 3-month contract would not be necessary as the association is responsible for stocking the machine with product and keeps the revenues. Pool The bid previously received for on site repairs of the broken straps on lounge chairs was accepted and this work would soon begin. Architectural Control Due to Tyler Smith’s absence there was no new information to report, however homeowner Suzie Brothers was present to file a complaint against a neighboring property owner for having a vending machine in their driveway and debris in their backyard, both of which were visible from her home and the street. Suzie had typed a letter to the homeowner reminding them of the covenants and restrictions and asking the items be moved, and presented the letter to the Board for approval. Neighborhood Watch A recent magazine salesman traveling door to door was asked not to return by one of the Board members due to rude and disrespectful remarks made to some homeowners. Jay Jones will ask the sign company for a bid on “No Soliciting” signs for the subdivision when he talks to them about a new clubhouse sign. Linda Becker mentioned that a new homeowner directory would not be published until January due to the expense and to make sure that all new homeowner information was included. Newsletter A newsletter will be produced in early August by Jay Jones or Linda Becker. Drainage Issue at 2341 West Westview No new information to report.

NEW BUSINESS More discussion took place regarding a community playground area being added to one of the common areas. Steve Webb to research liability and insurance costs with State Farm Insurance before moving forward. The next monthly meeting will be held on Monday, September 8 due to the Labor Day Holiday on September 1. A community garage sale has been scheduled for September 6 and will be coordinated by homeowner Kim Crawford. Linda Becker will add this information to the newsletter. A motion was made by Steve Webb to adjourn the August CVHA Board of Director’s Meeting and was seconded by Julie Mason. Motion passed.
