Introduction Welcome to the Division 29 Board of Directors! This Handbook has been designed by the 2009 Domain Representatives to help incoming Domain Representatives understand their role on the Board. Other documents that provide important information include the Division’s Orientation Manual, Policies and Procedures Manual, and Bylaws. On the Division 29, there are eight Domain Representatives elected for staggered 3-year terms: Early Career Psychologists Education and Training Diversity (2 positions) Membership Psychotherapy Practice Public Interest and Social Justice Science and Scholarship The eight Domain Representatives are voting members of the Board of Directors and work with the rest of the Board (President, Past President, President-Elect, Council Representatives, Secretary, Treasurer, and Student Representative) and the Central Office Administrator to conduct the business of the Division. They also work with particular Committees (see p. 3-4). Committee chairs are not voting members of the board, so the Domain Representatives are responsible for bringing issues of concern or action to the Board for review and resolution.

This Handbook will provide information on the common tasks of the Domain Representatives, the common annual events, and specific structures and missions of the different domains. We hope that you find it useful.

APA Division 29 (Psychotherapy) Tasks Common to All Domain Representatives Board Meeting Preparation Domain Representatives are expected to attend both the Mid-Winter and Fall Board Meetings. Approximately two months prior to a meeting, the Central Office Administrator will send out the itinerary and request confirmation of attendance and travel plans. The Central Office Administrator will make appropriate hotel reservations on the Domain Representative’s behalf. However, the Domain Representative is responsible for booking his or her own flight, which will be reimbursed following the meeting. Reimbursement procedures are included in the Board Meeting agenda packet. Also prior to the Board Meetings, Domain Representatives should submit to the Treasurer any budget request items that should be considered at the meeting. Although these items will be included in the Reports discussed below, these items should also be sent separately to the Treasurer and Central Office to insure their inclusion in the agenda. Domain Representative Meeting It shall be the responsibility of the Domain Representative to participate in the Domain Representatives meeting held during the Division Board meetings held twice yearly. The President-elect shall organize the meetings, including soliciting agenda items from the Domain representatives. The President-elect shall be responsible for record keeping during the meetings and disseminating the minutes to members of the Board. Quarterly Domain Representative Conference Calls At each Board meeting, the Domain Representatives come together to discuss their work with reference to the agenda items for the meeting, and also hold quarterly phone conference meetings to stay in touch and maintain forward motion on projects. The phone meetings take place one month before and after each Board meeting, that is, in August, October, December, and February. There may also be an additional conference in May if needed. Domain Representatives will need to work with the Central Office Administrator to coordinate and set up the conference calls. Reports Domain Representatives are responsible for writing a Mid-Year Report and a Year-End Report each year they are in term. These reports are used to communicate to the Board: (a) domain activities that have been completed or are in progress, (b) the results/outcomes of domain activities, (c) collaborations with the relevant Committee Chair, (d) proposed goals/activities for the domain, and (e) budget implications of completed or proposed domain activities. These reports are compiled by the Central Office Administrator and included in the agenda packet for the coinciding Board Meeting. Included in these reports are items that require formal Executive

Committee and/or Board action at the meeting. These reports can also serve as the basis of the Domain Representative’s oral report to the Board at the meeting. The Microsoft Word templates for the Mid-Year and Year-End Reports are available from the Central Office Administrator, and are distributed via email approximately eight weeks prior to the relevant meeting. The Mid-Year Report is due to the Central Office Administrator (via email) four weeks prior to the Fall Board Meeting, while the Year-End report is due four weeks prior to the Mid-Winter Board Meeting. APA Events Coordination Domain Representatives might wish to organize or co-organize special events for the annual APA Convention. To do so, Domain Representative should present their event proposal and any budget implications to the Board. Such proposals can then be discussed at either the Fall or MidWinter Board Meeting, or both; however if discussed at the Mid Winter Board meeting, the event would not be until the following year due to the timelines involved in the program process. The discussion should include any budget implications for the event. Furthermore, if the event is not in a typical submission format (e.g., symposium, discussion group) for the Convention, the Domain Representative should work closely with the Division’s Program Chair to insure that the event (if approved by the Board) is included in the Division’s programming. Once the event is officially accepted for the Convention, the sponsoring Domain Representative should work closely with all relevant parties (e.g., Committee Chair(s), Program Chair, Central Office Administrator, etc.) to carry out the event to its intended completion. Bulletin Entries The Domain Representative works with the Committee Chair in developing the focus for articles and announcements from the committee. The Bulletin is published quarterly and the submission dates are the first day of February, May, July, and November. The submissions should conform to the following guidelines: 1. format should be block style with one space between paragraphs. No indented paragraphs. 2. single spaced 3. no page numbering 4. no headers or footers, unless footnotes 5. references should be single spaced, in approved APA-style format 6. photos and graphic elements such as graphs should be submitted as separate JPEG, TIFF, GIFF, or BITMAP files, not imbedded in other documents Updating the Website It shall be the responsibility of the Domain representatives to provide up- to-date information related to the domain on the website. They shall coordinate this effort with committee members and the website editor. As our website has been newly updated, it is very important to provide biographical information and a photo to the web editor at the beginning of the Domain Representative term and to provide regular updates for the website.

Coordination with Committee Chairs Essential to the role of the Domain Representative is close coordination with the chair of committee(s) related to the domain. The Domain Representative informs the Committee Chair about the direction and initiatives that emanate from the Board and works with the chair in establishing the direction of the Committee’s work. The Domain Representative participates in planning and implementing the Committee’s work. The Domain Representative works with the Committee Chair to request resources and coordinate the work of the Committee with the Board and other groups in the Division. Finally, the Domain Representative assists the Committee Chair in communicating and representing the work of the Committee to the Board and works with the committee chair in coordinating the mid-year and annual reports to the Board. Domain Representation to the Board Division 29 encourages active inclusion of each domain at every level. It is the Domain Representative’s responsibility to serve as a voice for his/her domain in all relevant Division 29 discussions. This is done to ensure that each domain is represented and all pertinent issues to that domain are addressed and considered throughout the division in all of its endeavors to further the advancement of psychotherapy in all its nuances. Representation of Committee Issues to the Board When Domain Representatives are developing agendas or activities, there are times when they will need to bring issues, questions, and concerns to the Board. Domain Representatives can contact the Board through email to request a conference call, submit a written document to the Board, or request time on the agenda for a Board meeting. These are the three main ways in which Domain Representatives may bring issues to the Board. If there is a time-sensitive issue that requires immediate board attention, the Domain Representative can make a motion and request a vote via email. Coordination of Domain Strategic Planning and Mission Statement Updates The purpose of the strategic plan is to create a written document that communicates the ways in which as a division we can maintain our stated mission and goals and provide accountability for the implementation of agreed upon strategies, plans, and initiatives. As such it is important that each domain develop a plan for implementation. It is the Domain Representative’s responsibility to coordinate the development, implementation, application, and sustainability of the strategic plan. This is done with the domain’s Committee Chair and other individuals who may provide beneficial input into the process. Coordination with Other Domain Representatives While some Domains have very specific content areas, in most cases there are considerable areas of overlap or mutual interest between the Domains, and it is important for the Domain Representatives to stay in touch with one another to coordinate their efforts. This helps create a

consistent Division approach to issues and promotes continuity and communication among the Board members. It is also very helpful to the individual Domain Representatives to become oriented to the work of the division and to learn what others are doing in their various Domains, and provides for mentoring of new Domain Representatives. The coordination may be on a oneto-one basis on specific issues arising, or may take the form of shared membership on each other's committees and task forces. A recent example is the work of the Task Force on Strategic Planning for Diversity, headed by the Diversity Domain Representatives. Domain Representatives from Science and Scholarship and Public Interest and Social Justice also took part. Coordination with Presidential Trio and Executive Committee As Domain Representatives, it is important to maintain regular communication with the executive committee and the presidents (President-elect, President and Past President). This regular communication facilitates that maintenance of matching agendas between the executive committee and the domains. This will also ensure that the executive committee is kept abreast of the activities of each domain.
