MEMBERSHIP RECRUITMENT AND RETENTION CRITERIA - 15 points
Number of students in School of Library Science IU Bloomington: 370 Current ALA-SC membership percentage of SLIS students: 28% Total current membership: 105 Membership as of June 1, 2010: 59 Net Increase: 46 Percent Increase: 44% Please describe programs for membership promotion, membership retention, methods of welcoming new members, and methods of encouraging participation: Membership Recruitment/Promotion All SLIS students are encouraged to participate in the happenings of ALA-SC. A majority of our new members come with the influx of new students to SLIS at the beginning of each semester. New students are presented with information outlining the benefits of ALA-SC and ALA membership during orientation and on a regular basis thereafter. This fall, many of the 2010 officers participated in the orientation luncheon, welcoming new students and sharing with them ALA-SC‘s purpose, and how the organization exists to support their professional (and social) growth. Students are given multiple opportunities to pursue membership in ALA-SC. While our heaviest recruitment time is at the beginning of each semester, there is not a deadline as to when students must become members. Membership forms are available throughout the entire year and can be found either online on the ALA-SC website (http://ella.slis.indiana.edu/g/alasc/join.html), in paper form in the organization‘s mailbox (open to students, located near the student mailboxes), and in the common computer lab (during the first few weeks of each semester). In addition to the orientation introduction, all SLIS students are invited to attend the ―Meet and Greets,‖ held at the start of each semester. During these events, new and returning

students meet at a local restaurant or bar where they mingle and introduce themselves in a setting outside of the library. This past year we held drawings giving away SLIS tote bags to encourage attendance. After the ―Meet and Greets‖ those who attended were contacted (using the information they provided for the drawing), thanking them for attending and notifying them of upcoming ALA-SC events. Throughout the semester emails are sent out over two listservs: (1) the professional development SLIS listserv ([email protected], to which all SLIS students are to subscribe) and (2) the more informal dissemination of information through [email protected]. We used both listservs to encourage students to participate in ALA-SC events and to become members. Posters are also placed in the common areas in the SLIS part of the library, and Facebook is highly utilized to promote membership, committee involvement, and events. Membership Retention: The low, one-time membership fee is similar to that of a lifetime membership, in that once students become a member of ALA-SC, they remain a member until they have completed their time at SLIS. We see the greatest fluctuation of membership at the beginnings and ends of each semester (as some of our veteran members graduate, and as we welcome new students to the program). We also utilized written surveys and discussions at meetings in order to understand what the ALA members desired. In satisfying their needs, we were able to provide a worthwhile experience for the students. Welcoming New Members: As was mentioned above, new members (and new SLIS students) are welcomed at the beginning of each semester during orientation and at ―Meet and Greet‖ events. In addition to introducing new and returning students to each other at the ―Meet and Greets,‖ ALA-SC has coordinated a mentoring program in which new SLIS students are partnered with veteran SLIS students, offering support and guidance as the new students navigate their first semester in SLIS and the surrounding community. Participation: All SLIS students are welcome and encouraged to participate in the happenings of Indiana University‘s ALA-SC (excluding voting in officer elections, which is limited to official membership). Approximately once per month general meetings are held in which students have the opportunity to observe programs and interact with speakers. Social activities are also held approximately once per month and have covered a wide range of activities, from a tour of the Kirkwood Observatory (a solar telescope; http://www.astro.indiana.edu/kirkwoodinfo.shtml), to collaborating with the SLIS students at Indiana University & Purdue University‘s Indianapolis

(IUPUI) branch for a tour of the Lilly House (http://www.iupui.edu/~aliss1/, http://www.imamuseum.org/art/collections/oldfields-lilly) and many others. Committee involvement is something that was revived during this past year. Members of the ALA-SC are encouraged to participate in committees, helping to shape the atmosphere of the organization through their involvement with the production of the newsletter, planning and coordinating of social events, and fundraising endeavors. Forty students showed interest in serving on one or more committees.

FINANCIAL CRITERIA - 15 points
Financial health of Student Chapter The chapter‘s financial health has improved significantly. The process of transitioning from a group IU Credit Union account to a recognized Student Activities Organization account is an important step for our fiscal health. We believe that the changes in spending habits combined with effective fundraising will continue to better the health of the organization in 2011. Fundraising and Other Income During the 2010 fiscal year we continued with our primary fundraiser, maintained our other income through membership dues, and jumpstarted the Fundraising Committee. Our primary fundraiser for 2010 was selling tote bags with an ALA/SLIS themed graphic designed by a former SLIS student. The tote bag fundraiser was initiated in 2008. As a result the market is saturated and interest has waned. To spur interest we reduced the price from $10 to $7 and gave free tote bags to panel speakers. The tote bags were advertised via listservs, fliers, and general ALA-SC meetings. We also monitored a table in the SLIS department twice to provide semester end opportunities to purchase the bags. The items remaining netted pure profit as the expenses for production were covered by sales in 2009. In total five totebags were sold, two of which were at the original $10 price. The total income raised from these efforts was $41.00. The previous ALA Executive Board scheduled an ALA fundraiser dance for 2010 and paid half of the deposit to Panache Dance Studio for $90. We paid the other half of the deposit, $90, and charged admission to the swing dance fundraiser. Despite our best efforts, enthusiasm was low. Though we made $148 in attendance, we lost $32 due to the high cost of the room rental. These fundraising efforts were organized and implemented by the ALA-SC Treasurer and Fundraising Committee. Member dues make up the largest portion of the ALA-SC income. Revenue of $540.00 was gained from membership in 2010. This is a slight decrease from the 2009 fiscal year. Additionally, there was no money in the ―Savings Account‖ as reported by the 2009 Treasurer, however, $44.37 from the ALA-SC cashbox was deposited into the Checking Account, leaving

$25.00 remaining in the cash box. It is unknown of which activity the $44.37 was procured. In total, ALA-SC gained $609.37 during 2010. Fundraising was minimal in the first two quarters of 2010 due to overwhelming work on the Treasurer. To solve this problem, the Fundraising Committee was reinstated. Through advertisements on the SLIS listserv, the ALA-SC Facebook, and fliers, volunteers for the fundraising committee were collected via Google Docs. Nineteen people volunteered for the Fundraising Committee, and 10 people attended the first meeting in October. At this meeting the financial health of the chapter was discussed and possible fundraising ideas were brainstormed. The committee decided that t-shirts available through a pre-order option would avoid the dilemma of the abundance of merchandise (as in the case with the 2008 tote bags). To promote interest in the t-shirts, the committee decided to host a SLIS-wide ―Slizzard‖ logo redesign contest. The winner of the contest would receive a t-shirt with his/hers design, a tote bag, and a local business gift card. During the December Fundraising Committee meeting a timeline was drafted, and this fundraising effort will be implemented in 2011. Expenditures We had lower expenses for the 2010 fiscal year than in previous years in an effort to develop funds for important activities and to avoid costly overspending. We worked hard to find community events that were fun and free. Our major expenses were social events that promoted a sense of community and developed partnerships with other professional organizations. In previous years we have hosted a wine and cheese night. It was determined that this event would use up our entire budget and was not worth the cost. Additionally, as we transition to an IU Student Activities Organization account we cannot provide alcohol at events. Instead we hosted a variety of events throughout the entire year. To celebrate the May graduates we had a day in the park. We rented an outdoor picnic area and provided appetizers and beverages. Our Fall 2010 ―Welcome Back‖ event shared the expense of appetizers with another professional organization, the American Society for Information Science and Technology. We also partnered with the ALA Chapter at IUPUI to host a museum tour and provided appetizers. Many of our social events‘ costs are low due to the generosity of local businesses. For many of these events, such as the Bloomington Nightlife Tour, we were able to reserve rooms for free. We also actively support students seeking professional experiences. Every year we hold an essay contest to select our representative for the ALA Student to Staff program. These students are supported not only by the ALA but also by our chapter as we provide travel funds to the ALA National Conference. The cost for 2010 was $100.00. Previously, there had been no set procedure for how funds are distributed to the Student to Staff recipient, and in what amount. After thorough discussion, the chapter and advisors decided that $100 should be contributed to the student‘s travel expenses. While this does not cover the entire cost of distance airline travel (for 2010 the conference was in Washington D.C.) we anticipate that it will help significantly.

Furthermore, the 2011 ALA National Conference is to be held in New Orleans and we suspect that recipient will also need to fly. The set procedure will help eliminate confusion for years to come, as the 2010 recipient was not reimbursed until December 2010 due to confusion. Finally, there was the miscellaneous expense of $18.50 to purchase new checks for the IU Credit Union account. In 2009 our total expenses were $785.00. However, in 2010 we drastically reduced this, even with our unsuccessful dance fundraiser, to $500.92. Evaluation Overall, our financial health has improved significantly. At the start of 2010 the accounting books were in disarray, we had few revenue streams, and significant expenses. To top it off there was no Fundraising Committee, and we were not officially recognized by IU as a student organization. Since the start of 2010 we have worked hard to reduce our expenses, share the cost with other professional partnerships, take advantage of no-cost events, jumpstart the Fundraising Committee, and become an official student organization. Jumpstarting the Fundraising Committee ensures that we will have members who are concerned with fundraising and revenue streams for years to come. We are still in the process of becoming recognized in 2011 but this is an important step for our fiscal health. Once we are an official SAO organization we will receive an additional $250.00 yearly, treasurer training, access to rooms of campus for free, and grant opportunities from the university.

Leadership Activities The ALA-SC Executive Council (EC) is comprised of six officer positions: president, vice president, secretary, treasurer, program/social chair, and webmaster. The terms of office are for one calendar year. This past year, the EC made it a goal to be a prominent and welcoming face in SLIS. Opening a collaborative dialog with other SLIS student organizations, resulting in several collaborative opportunities, was a major focus of the 2010 EC. In March, the ALA-SC encouraged members to attend the Indiana Library Career Expo, held in Indianapolis. Carpools were arranged and collaborative work between ALA-SC EC members and the event organizers was done to solidify attendance details. Also in March was the SLIS Diversity talk, featuring librarians‘ perspectives in challenging issues. This event was co-sponsored by SLIS, ALA-SC, and the Indiana University chapter of the Progressive Librarians Guild. Our fall 2010 ―Meet and Greet‖ was a collaborative effort between ALA-SC and the Indiana University chapter of ASIS&T (American Society for Information Science and Technology). Another one of our fall social events, the Bloomington Nightlife Tour, was collaboratively held with the Society of American Archivists – Student Chapter. ALA-SC collaborated twice with Beta Phi Mu-Chi Chapter, assisting with promoting the Award for Student Scholarship Talk given in October, and the Career Panel presented in November. We partnered with the SLIS Career Center to organize and promote the first biannual Alumni Career Talk, also held in November. In addition to including conference preparation as meeting themes throughout the year, we assisted students with carpool and lodging matches for those interested in attending ALA Annual (http://on.fb.me/annualcarpool). We also compiled suggestions about navigating Washington D.C., interesting things to do in the area, and promoted involvement in ACRL OnPoint Chats featuring Emerging Leaders discussing conference details (http://on.fb.me/emergingleader1 and http://on.fb.me/emergingleader2). Given the recent economic climate, ALA-SC has made it a point to focus at least one event per semester on gaining employment in librarianship (i.e. the Employment Panel, the Alumni Career Talk, and the Beta Phi Mu Career Panel). The student responses for this type of programming have been overwhelmingly positive. The ALA-SC mentoring program pairs returning SLIS students with new SLIS students. Students respond to an email sent out via the larger SLIS listserv. They are then partnered, doing our best to match individuals with similar librarianship interests. The mentor/mentee pairs are encouraged to meet three times throughout the semester, and emails are sent out to remind students to arrange times to meet. Students were encouraged to discuss the following topics: useful classes, conference opportunities, ways to get involved, places to go and things to do in

Bloomington, ideas for sequencing your classes (i.e. ―When did you take _____ class?‖), any questions the mentee might have, anything the mentors wish they would have known as they began their SLIS studies. In the fall of 2010 we matched 21 mentors with 34 mentees. Long range plans include increasing committee involvement, pursuing further opportunities within the community, utilizing additional technologies to promote chapter happenings and support members‘ needs.

COMMUNICATIONS CRITERIA - 15 points
Please describe means of communication used by the Student Chapter in the previous year. These include:


Web site development: Located at http://ella.slis.indiana.edu/g/alasc/, the chapter website's primary purpose is to provide information about the ALA and the ALA-SC, alert students about upcoming events, house meeting minutes, and provide a space for ALA-SC publications. Potential for Web 2.0 tools on the site is limited by server restrictions; however, the site is closely integrated with Google Calendar for event PR and links to other resources when appropriate. For the ALA's 2010 Annual Conference in Washington DC, a quick-reference guide was included on the site (http://ella.slis.indiana.edu/g/alasc/ALA_DC.html). Listserv management: Our general chapter listserv keeps members informed about chapter news, upcoming meetings, activities, and opportunities for involvement. Upon joining the ALA-SC, new members are added to the chapter listserv. We also connect with the larger SLIS community through the slis-l and slis-students-l listservs, which allow us to communicate with non-members about appropriate events and opportunities. The utilization of this program-wide listserv serves to allow students to join the chapter at any period in time and promote the mission to all students, not just those who had previously joined the ALA-SC. The ALA-SC executive board stays in constant contact with each other through the executive e-mail listserv, iu-ala-sc-l, allowing for business to be accomplished between monthly executive board meetings.





Publications: Our newsletter, The SLISard Line, helps promote communication between members by providing a forum in which they, as emerging librarians, can express their views on the topics that affect their future career. Additionally, by writing about their specialties, they can help educate their classmates and open up interaction amongst fellow classmates regarding varying librarian fields. This newsletter was released during the spring semester and preparations were put in place for a January 2011 edition. Public relations: The ALA-SC strives to be a vital part of the SLIS community. The openness of our meetings to all SLIS students, services offered to students, and the



frequency of activities have helped support that part of our organization‘s mission. We are also working to be of service to the surrounding community and have connected SLIS students to various organizations seeking volunteers. The September meeting ―Volunteering with Librarianship in Mind‖ invited four organizations to our meeting to share how library students could be involved, resulting in increased community volunteerism of our members.

Placed in common areas around the LIS school, posters were used to convey meeting and activity dates, times, locations, and brief descriptions accompanied with eye-catching graphics.



Web 2.0 technologies, including social networking sites, blogs, and wikis Facebook: In addition to communicating with SLIS students and the ALA-SC body of membership via email, posters, and in-person at meetings and social events, we continue to maintain and heavily utilize a Facebook page, ―ALA Student Chapter of Indiana University‖ (http://on.fb.me/iualasc). Updates, notes, and photos (http://on.fb.me/iualascphotos) are posted and events (http://on.fb.me/iualascevents) are created to which members could respond, indicating if they will attend. Members can also post suggestions and other comments about chapter happenings. A new element, added beginning in 2010 is the inclusion of meeting videos (http://on.fb.me/iualascvideos). This began because our first meeting of 2010 was held on a very snowy evening, preventing some members from attending. Not wanting the members to miss out on the meeting‘s content, the officers arranged to record the meeting and post the videos on the Facebook page (some of the earlier meeting videos from 2010 are found under the ―Videos by Others‖ category; the later ones are found under the ―ALA Student Chapter of Indiana University‘s Videos‖ category, after having changed our permissions). We continued recording and posting our general meetings to allow those with class or work conflicts the opportunity to access the information presented. A large student response has been found in regards to the Facebook page and we believe there is a direct correlation between this advertising and an increase in attendance. This is especially important because of limited physical advertising opportunities. Wiki: This fall the officers began a Wiki to facilitate communication, transitioning to new student leadership, and archive the past year‘s happenings. For officer and committee use only, this Wiki page is a central place for many files including

meeting minutes, financial material, and other relevant material that records the progress of our chapter and allows for shared brainstorming.

Future Technologies: The ALA-SC EC has discussed utilizing additional technologies including, but not limited to, Twitter, blogs, and HootSuite.

PROGRAMMING CRITERIA - 30 points
Please describe the Student Chapter's programs, projects, and activities, including the extent of member participation in each. Programs are the utmost concern for Indiana University‘s (IU) ALA-SC and we strive to provide the most meaningful experience for the members of our organization and for IU‘s SLIS students. Our speakers, social activities, cooperation with other organizations, library tours, and specialized services have provided activities that prepare students for their upcoming careers. One purpose of our programs this year was to expose students to the professional atmosphere through an explanation of conference activities, an overview of special areas of academic librarianship, presentations discussing up-and-coming topics in the library field, and further exposure to varying libraries through tours. Another purpose is to provide members and SLIS students with the tools necessary to approach the employment process with confidence and understanding. Our programs also encourage networking amongst peers and professionals, a valuable asset to making connections across the field. Cooperating with other organizations was also key in our programming because it drew from varying interests and knowledge of other participating groups. Meetings typically occur once per month during the school year. Attendance at meetings during 2010 were typically around 30-35 students. Meetings presented informative, specialized speakers with a question and answer period at the end. While professional development was an important focus for programming our meetings, we also strove to encourage students‘ personal growth. Our social events helped new students become acquainted with new students, and allowed all the opportunity to explore the Bloomington and Indianapolis areas. By partnering with various other groups we were also able to diversify our programming and create a bridge between the organizations.

October 7, 2010 -- Nighttime Observatory Tour Text of Announcement: Constructed in 1900 and functioning since 1901, the historic Kirkwood Observatory houses a 12 inch refracting telescope used by the IU Astronomy department to study solar phenomena. November 13, 2010 -- Indianapolis Museum of Art, Lilly House Tour Text of Announcement: Hang out with other SLIS students from both Indianapolis and Bloomington! Join us as we explore the wonders of the Lilly House at the Indianapolis Museum of Art on Saturday, Nov. 13th. The Lilly Mansion, a restored museum that was once the home of Josiah K. Lilly Jr, who was the fourth President of Eli Lilly and Company and brother of Eli Lilly. The Lilly House is the only remaining building from the set of wealthy estates that used to be in that part of Indianapolis. March 6, 2010 -- Indiana Library Career Expo The Indiana Library Career Expo introduces attendees to the many career opportunities in the field of library and information science. Attendees will learn about a wide variety of educational opportunities and library career paths available for all education levels. Who should attend?

--Undergraduates investigating Masters in Library Science programs and professional opportunities and internships in libraries. -- Library Science Students wanting to meet potential employers and learn about career opportunities in the library field. -- Library Employees seeking educational and professional development opportunities that can enhance your career. -- Professional Librarians ready to discover new opportunities in the library field and network with peers and potential employers. The event will feature several discussions and workshops led by leaders in the library field and a keynote presentation by Dr. Carla Hayden, Chief Executive Officer of the Enoch Pratt Free Library in Baltimore, MD. Certified public librarians will receive one (1) library education unit (LEU) for attending the keynote presentation. Additionally, attendees will have ample opportunity to network with library employees, potential employers, and college education providers in the expo hall throughout the day. SLIS Diversity Talk -- March 10, 2010 Hear librarians‘ perspectives on challenging issues: Wednesday, March 10, 2010 1:00-1:45 p.m. SLIS, Room 031 ***RSVP to: [email protected]*** The talk is a part of the Indiana University Campus Diversity Day. Events will be held around the IU Bloomington campus. The campus-wide theme is "Toward Civil Conversation." Public Library Directors Laughlin and Helling have been asked to speak on this theme - with a focus on the profession. Issues that may be addressed: How do public libraries manage controversial topics, materials - protests by people - different points of view - homeless concerns - different ethnic, cultural, age and general diversity concerns? An American Library Association - Office of Intellectual Freedom training session addresses "Controversial Materials in the Library: Supporting Intellectual Freedom in Your Community." This topic may shape some of the presentation. The event is co-sponsored by the SLIS student groups: ALA-SC and PLG-SC. Beta Phi Mu Chapter Award for Student Scholarship Recipient Talk, Ben Keele -October 8, 2010 Benjamin Keele, recipient of the Beta Phi Mu Chi Chapter Award for Student Scholarship will speak about his work. "Law Journal (Non)use of Digital Object Identifiers." Friday October 8, 10:00-11:00, in SLIS Room 030 Ben is now Reference Librarian at Wolf Law Library, College of William and Mary, in Norfolk, VA. Abstract: Prevailing citation practice in law journals is to use uniform resource locators (URLs) when citing electronic sources. Digital object identifiers (DOIs) provide a more reliable and robust mechanism for citing digital, scholarly articles. This study examines to what extent DOIs exist but are not used in law journal citations. Citations to scholarly articles from twenty-five randomly-selected articles appearing in the 2008-2009 volumes of four major law journals (Harvard Law Review, Columbia Law Review, Yale Law Journal, and University of Pennsylvania Law Review) were checked for existing DOIs using CrossRef's Simple Text Query form. This resulted in 394 citations that could have had DOIs, but did not. This nontrivial number suggests that law journal editors and librarians should consider adding DOIs to citations. For journals that publish exclusively online or are interdisciplinary, assigning DOIs to their own articles may be a prudent measure to better ensure longterm digital access and citation by scholars in other fields.
