JOB ANNOUNCEMENT
Student Services Assistant (Administrative Support Coordinator II) International Programs Salary Range: $3,074 - $4,615 per month Hiring Range: $3,074 - $3,200 per month Requisition # 000869 August 9, 2012 Position: The California State University, Office of the Chancellor, is seeking a Student Services Assistant to provide administrative support to the department. Primary responsibilities include supporting the maintenance of the International Programs FileMaker database, preparing correspondence for students; assisting with predeparture orientation materials and updates and monitoring the IP website. Duties: Under direction of the Director of International Programs and the Assist ant Director for Student Affairs, the Student Services Assistant will: maintain FileMaker Database and Oversee Application Completion by all applicants (approximately 1,000 from all 23 CSU campuses); maintain and improve International Programs web presence; assist in planning the International Programs Pre-departure Orientation, contacting former IP participants via email and telephone to request their participation in sessions; visit campuses as part of coordinated recruitment effort, to include attendance at CSU campus Study Abroad Fairs and other oncampus recruitment events; generate letters for mass mailing using data base; assist with student advising by telephone. During the application period, this will primarily involve advising about the documents required to complete an IP application, whereas, after selection, much advising will be about the items students must complete as participants, such as housing forms, travel forms, visa paperwork, host university online applications and the like. Requirements: This position requires a Bachelor’s degree and one year of administrative experience or the equivalent combination of education and relevant work experience; International study experience required; ability to work independently, prioritize and meet deadlines; extraordinary organizational skills; excellent follow-through skills; familiarity with office applications such as Outlook, Word, Excel, Filemaker Pro; excellent written and verbal skills in order to communicate by email and telephone with IP Campus Coordinators regarding students’ applications, as well as with CSU campus faculty, staff and students about general information about IP; familiarity with filing systems; excellent mathematical skills; foreign language ability; yearlong study abroad experience; ability to establish and maintain positive professional relationships with colleagues, students and faculty; and experience with web software desirable.
