Senior Administrative Assistant
The Chicago Public School System is the third largest school dis-
trict in the United States, and is comprised of more than 650

The Position
The Senior Administrative Assistant maintains administrative
support to one or several Law Department managers or senior
managers, including the Director of Legal Investigations. The
position is of a confidential nature and has regular access to Law
Department and other CPS Departments’ confidential files, data
and information. Work requires knowledge and maintenance of
complex electronic databases and requires the ability to solve rou-
tine complex problems independently within assigned areas of
responsibility.
Responsibilities
The Senior Administrative Assistant will maintain and update one
or more data bases, including docket of all pending and closed Law
Department matters (matters per year), legal investigations
(approximately 1900 pending). Maintain one or more indices with
respect to persons involved in pending and closed LawDepartment
matters and legal investigations. Open all legal department and
investigatory case files, assign case or file numbers and prepare
initial paper files in a uniform manner. Close boxes and arrange
for proper storage and retention; recall all closed legal and inves-
tigatory cases, files and other matters. Track and/or make appoint-
ments for court appearances or witness interviews for Director
and Deputy Director. Answer inquires from attorneys within the
Law Department, Schools principals, Department heads, external
public agencies, including the Chicago Police Department and the
Illinois Department of Children and Family Services, regarding
the status of pending and closed matters, and conducts related
database research (e.g., Law Department docket, Courts dockets,
weekly call sheets, investigations indexes, and databases. Prepare
correspondence, case reports and other materials for Director of
Legal Investigations and Deputy Director of Investigations. Take
contact information, general description of complaints to be inves-
tigated from attorneys, public, parents of students, principals,
teachers and staff and refer to Director or Deputy Director.
Qualifications
Position requires High School Diploma or GED Certificate. Asso-
ciates Degree preferred. Five (5) or more years experience in
administrative capacity with progressively greater administra-
tive responsibility, including responsibility for maintaining case
dockets and/or databases in a law office or investigative or Law
Department agency. Proficiency with one or more electronic and
web-based databases including: Lex, Circuit Court of Cook County
case dockets, United States courts case dockets, AIMS, Mapper,
Student Information database. Proficiency with word processing,
spreadsheet and database software, including Microsoft Outlook,
Word, Excel and Access and Word Perfect software programs.
Basic knowledge of rules governing attorney-client communica-
tion and work-product privileges, employee discipline privacy con-
cerns and student privacy rights; proficient writing (e.g., ability
to independently draft correspondence and inter-office memoran-
dum that are not routine in character) and proof-reading skills;
superior organizational skills; and superior inter-personal and
customer service skills.
Compensation
The CPS offers a competitive compensation and benefits package
including medical and dental insurance and pension. Salary is
commensurate with the years of experience.
Residency Requirements
Chicago residency is required within 6 months of accepting an
offer of employment with the Chicago Public Schools.

How Can Paralegals Survive and Thrive in
New Work Situations?

Whether you're new to the profession or you have years of experience as a paralegal, you may find yourself
working in an unfamiliar practice area. You may be 'learning by fire' and not feeling confident about how you're getting the
job done. You may not have enough contact with your supervising attorney or feel like you're bothering him/her with constant
questions. Even if you're not working in a new practice area, there are always new rules and procedures that you need to
figure out.
Here are twelve tips that will help you survive these situations and thrive in your career:
Just like the cable company, adopt the habit of 'bundling.' Try saving all the questions you need to ask the attorney and
present them all at once. It's tough to flag down a busy person and they don't like frequent interruptions that take them away
from their work. If you can schedule one or two fifteen minute meetings (say, first thing in the morning and perhaps
immediately after lunch), you may find a more willing listener.
Does your state have guidelines for the utilization of paralegals? If so, be sure you have a copy and then discuss the
guidelines with your employer. Tell him/her that you really like your job and you like working for him/her but you feel there are
some areas where you feel uncomfortable and could he/she help you with those. If your employer doesn't know that you
need this help, he or she can't provide what you need. (Remember that the American Bar Association offers Guidelines for
the Utilization of Paralegal Services and so does the National Association of Legal Assistants.)
Be sure you are getting the supervision that is required for nonlawyer staff. Remember that the attorney is to review
your work before it leaves the office and that nonlawyers cannot sign pleadings or correspondence that offers legal advice.
Familiarize yourself with the court rules for your state and your local jurisdiction. Know where to find requirements
and time frames for any filings you'll be doing. It's your responsibility to know this for calendaring and for planning when work
needs to be done.
Are there similar older or closed files you can follow? They would give you great ideas for procedure that's been
followed in the past, documents that have been drafted, and correspondence that's been sent. Be sure to ask the attorney if
there is another file you can follow or another client with similar issues.
Make the court staff your new best friends. They are usually happy to help with procedure and they may have checklists
and forms you can use. Be sure to treat them with respect and be lavish with your thanks.
Create your own procedures manual. This should include forms, checklists, contact lists, and helpful Web sites. The more
systems you can put in place, the smoother your transition into this new practice area will be.
Seek out continuing education opportunities, especially in the new practice area. You should consider certification and
advanced certification. There are also a number of online courses (remember that The Paralegal Mentor offers a few that
might work) that should be convenient for you to attend.
Take an active role in paralegal forums. Two good ones are provided by Paralegal Gateway and by Legal Assistant Today.
NALA also provides a good forum for members. The paralegals who post on those venues are very generous with their
expertise and advice. They will generally share forms and their knowledge of procedure.
Join local, state and national professional associations. After you've joined, become an involved member: go to
meetings, run for office, join in discussions and educational events. This will provide chances for networking with other
paralegals who do the same work you do. Professional newsletters and journals offer lots of articles that may help you with
your situation.
Find a mentor. Ask someone who has experience in the practice area to help you learn the ropes. Again, most paralegals
are incredibly generous with their time and their expertise.
Use social media as a resource. Establish accounts on LinkedIn, Facebook, and Twitter, provide a professional profile and
dive in. Be sure to join whatever groups work for you, too. This is a great way to ask questions, locate resources and learn
about educational opportunities. Just remember that whatever you post on these sites can be viewed by everyone so keep
everything you do on a professional level.
Your challenge: When you catch yourself saying, "Holy Moly...what do I do now?" take a step back, analyze the situation,
and decide which of the above tips will work for you. You will probably find more than one. Then, step by step, learn all about
the new practice area or the new procedure. Before you know it, you'll be offering tips and advice to other paralegals.

FROM SANTA CLAUS!

Santa Claus must hold the
record for job longevity. After
all, he’s held the same job for
years and years, through good
times and bad, with nary a lay-
off and, certainly, no downsiz-
ing. Really, Santa is indispen-
sable because absolutely
nobody can do his job as well
as he can.
In this time of employment
uncertainty, paralegals should
take a few cues from Santa:
Santa appreciates the
importance of his team. Santa
understands that he can’t do
his job without the support of
Dasher, Dancer, Prancer, and
Vixen, as well as Comet,
Cupid, Donner and Blitzen.
He also recognizes that
certain team members are
uniquely qualified to do cer-
tain types of work. For
instance, Rudolph with nose
so bright was invaluable on
that foggy Christmas Eve
when he was called upon to
guide the Santa’s sleigh.
Santa multi-tasks. When
he barely has time to sit down
for Thanksgiving dinner
before the holiday rush begins
and he’s expected to be every-
where all at once, Santa
makes a list and checks it
twice to find out who’s been
naughty and nice and also to
be sure he’s got everyone cov-
ered. He’s practically guaran-
teed no detail will slip through
the cracks.
Santa dresses appropri-
ately. Granted he gets to wear
a uniform (I suppose that’s
what you’d call his red velour
suit) but even if he doesn’t
like it, he wears it like a true
professional because he
knows he needs to look the
part. After all, it just wouldn’t
be right if Santa showed up in
jeans and flip-flops.
Santa doesn’t waste time.
Remember how Santa slid
down the chimney and said
not a word but went straight
to his work? He knows that
the only way to finish a project
on time is to stay focused and
minimize interruptions.
Santa delegates. Knowing
he should do only what only he
can do, Santa delegates a
bunch of the work to his elves.
He also utilizes plenty of
“stand-in” Santa’s to cover all
the malls and Christmas
Parties. This f’rees him up to
do only what he personally has
to do to be sure deadlines are
met and an excellent job is
done.
Santa does even the dirti-
est parts of his job with a
smile. Who else would slide
down a sooty chimney and
land with twinkling eyes and
merry dimples? Santa’s not a
slacker...he gets the job done
regardless of what he has to
do to make it happen.
Santa fulfills wishes, often
without being asked.
Anticipating what someone
wants or what needs to be
done is just part of his job
description. Johnny wants a
pair of skates? Suzy wants a
doll? Nelly wants a story
book? He’s all over it! Two
front teeth? You got it!
Elephants, boats and kiddie
cars, too? Done!
Santa uses appropriate
language. There’s only one
permissible 4-letter word for
Santa: Hoho! Other than that,
Santa speaks in complete sen-
tences without the need for
foul language to make his
point.
Granted, Santa enjoys a
lot of perks: he flies around
the world without a passport
or airport pat downs and he
gets oodles of f’ree cookies.
When things do get stressful
between Thanksgiving and
Christmas, though, Santa
doesn’t complain, he just does
his job...and does it well...and
then hunkers down at the
North Pole to get ready for
the next year. Things may
slow down but he never quits
working toward his December
24-25th deadline.
Your challenge? Think
about Santa’s practices and
work ethic. Which can you
apply to your own job to not
only make your work more
challenging and interesting
(without sliding down any
chimneys!) but also make
yourself indispensible to your
employer?

REGULAR membership is open to any person who is: (1) an Illinois resident employed as a paralegal on a full-time basis in the State of
Illinois; or (2) a non-Illinois resident employed as a paralegal on a full-time basis in the State of Illinois; or (3) an Illinois resident employed as
a paralegal on a full-time basis in any State contiguous to Illinois. Regular Membership is $65.00
STUDENT membership is open to (1) any Illinois resident who is enrolled in a formal course of paralegal study from an accredited
institution in pursuit of a certificate or degree and is not working as a paralegal; or (2) to any non-Illinois resident residing in a state contiguous
to Illinois, and who is also enrolled in a formal course of paralegal study from an accredited institution in Illinois in pursuit of a certificate or

ASSOCIATE membership is open to (1) any person employed as a paralegal on a part-time basis in the State of Illinois; or (2) any
person formerly employed as a paralegal; or (3) any graduate of a formal course of paralegal study from an accredited institution who is
seeking a paralegal position. Associate Membership is $55.00
SUSTAINING membership is open to any person, law firm, business, educational institution or other organization interested in furthering
the purposes of the Association. Sustaining Membership is $95.00
Definition: A paralegal is a person qualified through education, training, or work experience to perform substantive legal work that requires knowledge of legal concepts and that is
customarily, but not exclusively, performed by an attorney. This person is retained/employed by an attorney, law office, governmental agency, or other entity under the supervisory
authority of an attorney; or is authorized by governmental administrative agency or statutory or court authority to perform this work.
