CIVILITY AND PROFESSIONALISM By: Caren Mansfield, a member of the Illinois Paralegal Association Occasionally articles in legal publications will discuss the issue of civility. In the last few years this issue has come before the legal profession more and more frequently as we read or hear about rude lawyers, rude judges, unruly courtrooms and the like. As a paralegal you question how civility affects your everyday work because you are not the lawyer appearing in court or making legal decisions. But as a paralegal you are part of the legal profession and you come in contact with many different individuals whether lawyers, judges, court personnel, clients or witnesses. You can help maintain civility in the legal profession by maintaining at all times the highest standards in your correspondence and conversations with others. Now we have all had the days when we have hung up the telephone from a conversation where perhaps the only comment can be “duh?!” or perhaps an expletive feels better. But that is just what you say when you are by yourself, right? As paralegals we all must consider that everything we say or do reflects on our employer and our profession. Yelling over the telephone does not usually yield good results. Berating a person does not make them want to spill everything they know to you. What’s that old saying Grandma used to say about catching more flies with honey? Well, it is true. All of us respond better when we are approached in a civil fashion. Sometimes you just have breathe deep or think of something funny in order to keep your cool. Many times the person you want to choke is someone you really need to build a relationship with because this will not be your last conversation. Perhaps the individual is having a worse day than you are. Leaving on a good note will make the person more likely to be helpful if you make contact in the future. What other steps can a paralegal perform to assist in maintaining civility and professionalism? Perhaps there are some rather simple steps for a paralegal to perform like returning phone calls promptly, keeping the client informed of all dates, sending copies of informative documents and, here’s a big one, letting everyone know when something is canceled. Boy don’t you hate it when someone shows up for a canceled deposition or hearing. Don’t whine, just apologize and do not let it happen again. Hopefully in such an instance the person who shows up for the canceled event will demonstrate good grace and civility. We all know that what you remember is usually not all the good things that occur but the bad things that happen or inconvenience you. Consider yourself fortunate if all your experiences have been positive with other members of the legal profession. As a matter of course you should work to be prepared, show a high level of responsibility, display respect for others and hopefully all the hard work will pay off in good relationships with other members of the profession, clients and the public. CHARACTERISTICS OF STELLAR RESUMES

Much of what we do in the legal field involves written communication. It's how we frequently communicate with the court, with opposing and co-counsel, and even with colleagues in our own office. Because of this, a legal professional's writing, document organization, and proofreading skills are very important; a resume is a great place to showcase these skills. As former hiring managers, we've seen some stellar resumes. We've also seen some decent resumes, some mediocre resumes, and a handful of resumes that have made us laugh, cringe, or shudder at the thought of hiring the candidate presented. Although there are truckloads of ways to make a bad resume, there are surprisingly few ways to make a great one. Here are the top characteristics of resumes that stand out in a crowd-in a good way.

#1: They're visually appealing.

According to experts, you only have between 2 and 10 seconds to convince the person reviewing your resume that it's worth a full read. The first thing many resume reviewers do is what we call the Two- Second Test: they spend a few seconds skimming the document and decide whether they want to spend more time actually reading it. Here are a few things they look for: Overall Visual Appeal - Does the resume look professional and polished? Is there a good balance of text and white space? Are the margins consistent all the way around the document? Does everything fit on the printable page? Header - Does the resume have a professional- looking header, including the candidate's complete name and contact information? Is the candidate's email address appropriate? Organization - Is the resume organized in a logical manner? Are the sections easy to identify at a glance? Keep in mind that just because Elle Woods from Legally Blonde can get away with a resume that's pink and scented doesn't mean you can. Stick with white or offwhite paper, stay away from the perfume, and give "a little something extra" another way.

#2: They're concise.

You may have heard that your resume should be one page in length-here's why. Think about volume: you may be among 100 or more applicants for a position. If you're in this boat, chances are you'll have precious little time to convince the person reviewing your resume that you're a candidate worth talking to. Contrary to popular belief, the resume's goal isn't to get you a job-how many people do you know who have gotten job offers based solely on their resume? The fact is that a stellar resume can get you an interview, but a job offer will usually only come after you've talked to someone, either in person or over the phone. The goal of your resume is to whet the reviewer's appetite so that you're the first person called for an interview. So how do you keep it short when you're long on relevant education, experience, and skills? Think about your resume the way you think about page limits for filings. In a brief, only the strongest, most relevant arguments are included; when you're over the page limit weaker arguments, arguments that don't fully support the brief's overall goal, and redundant arguments are removed. Take a look at your resume. Is there anything in it that isn't specifically relevant to the position? Is there anything that doesn't support the argument that you are the best, most qualified candidate for this position? Remember that your resume shouldn't include everything you've ever done at every job you've ever had. It should be short and sweet, and should leave the person reviewing it wanting more-in the form of an interview.

#3: They're custom.

At the end of the day, even if yours is the most visually appealing and concise resume ever written, if you can't prove that you meet the job requirements you're probably not going to get an interview. So it's your job as the job seeker to prove that you're qualified and to explain why you're a great fit for the position. The way to prove that you're qualified is to customize your resume to the position. When a hiring manager has taken the time to write a detailed position description, you should take the time to provide a detailed response. Put yourself in the hiring manager's shoes: you spent 30 minutes writing a description of exactly what you want in a candidate and exactly what the tasks will be. Are you going to respond more favorably to the candidate who submits the same generic resume for every position, or to the candidate who addresses each of this position's specific requirements and includes relevant skills, experience, and education that reflect the candidate's ability to accomplish each of the positions duties? Chances are the person with the customized resume will get the interview, and the person with the generic resume will get moved to the bottom of the pile (or to the "round file"). One way to customize your resume is to include keywords from the job posting to explain why you're ideally qualified for the position. If the position calls for a paralegal with 3+ years of litigation experience and strong case management skills, your resume should reflect your 3+ years of litigation experience and your strong case management skills. To stand out, don't just state that you have strong case management skills; prove that you have strong case management skills by including specific examples in which you successfully managed cases. If your experience is with managing processes or projects or anything other than cases, use language your audience will understand to show that the two aren't so different after all.
