A management information system (MIS) provides information that is needed to manage organizations efficiently and effectively. Management information systems are not only computer systems - these systems encompass three primary components: technology, people (individuals, groups, or organizations), and data/information for decision making.
WHAT IS MANAGEMENT INFORMATION SYSTEM?
Management Information system is concept and combination of three words: Management: It means to manage information in a organize manner to make information useful. Information: Information refers to collected, organized and meaningful data. System: A system means co-related components which works together for a same goal.
In Management Information System Information manager or Database manager command all management information system and they related to whole system, without them a system cannot operate or work. A relation between a Management Information System and a database manager or information manager show by a figure as below:
Functions of MIS
1. Data processing
It includes the collection, transmission, storage, processing and output of data. It simplifies the statistics and reduces to the lowest cost by supplying an unified format.
2. Function of prediction
It predicts the future situation by applying modern mathematics, statistics or simulation.
3. Function of plan
It arranges reasonably the plans of each functional department in accordance with the restrictions afforded by enterprises and provides the appropriate planning reports according to different management.
4. Function of control
It monitors and inspects the operation of plans and comprises with the differences between operation and plan in accordance with the data afforded by every functional department, and be assistant to managers to control timely each method by analyzing the reasons why the differences comes into being.
5. Function of assistance
It derives instantly the best answers of related problems by applying to various of mathematics’ mode and analyzing a plentiful data stored in computers in the hope of using rationally human resource, financial resource, material resource and information resource for relative abundant economic benefits.
An MIS provides the following advantages
It Facilitates planning: MIS improves the quality of an organization or an information centre by providing relevant information for sound decision - making. Due to increase in the size and complexity of a organization lost personal contact with the scene of operations.
It Minimizes information overload:
MIS change the larger amount of data in to summarized form and there by avoids the confusion which may arise when information officer are flooded with detailed facts.
MIS Encourages Decentralization: Decentralization of authority is possibly when there is a system for monitoring operations at lower levels. MIS is successfully used for measuring performance and making necessary change in the organization plans and procedures. Brings Co-ordination: MIS facilitates integration of specialized activities by keeping an organization aware of the problem and requirements of various kind of work. It connects all decision centers in the organization. Makes control easier
Disadvantages of MIS
1. Highly sensitive requires constant monitoring. 2. Buddgeting of MIS extremely difficult. 3. Quality of outputs governed by quality of inputs. 4. Lack of flexibility to update it. 5. Effectiveness decreases due to frequent changes in top management 6. Takes into account only qualitative factors and ignores non-qualitative factors like morale of worker, attitude of worker etc.
ABOUT THE PROJECT: WEBSITE OF BHEL Q. Problems with the website?
A. The main problem with the website of the organization I worked with was that it is descriptive with a complexity to deal with different aspect of information about the organization. This leaded to the site being very slow in information offering as it required high times for the users to read the information offered. The customer, which wanted to browse the site, did not feel the need and quit the site mid way. Thus he was not able to use the site at all which left the organization lose a potential customer. Also the organization lacked uploading its new products on the website in a appealing manner as it need a good appealing flash work to explore the product, which I believe is very essential in the 21st century. As it is a important fact that due to lack of the customers attraction towards the product and the organization, the company fails to make a demand of the new products and the grip to the new and existing customers along with the prospective interest holders. Thus, not having a successful grab to the market of innovation and the raising competitive globe.
Q. The solutions?
A. 1. Firstly I believe that the website should be simple and attractive than more of descriptive and elaborative. It must be having a integrated approach for the user to lead to different aspects and different links providing the required information on ease of few clicks only. It is easy, fast to use and requires less skill to set up Flash website and gather the good number of customers and hold to the competitive advertising. 2. Secondly, the company should start updating their website more frequently. 3. Adding a column for online shopping can also be beneficial. Since people now days have starting preferring online shopping. The customers knows the requirements of their product and the only thing that needs to be seen in the design which can be seen using pictures and listing the products more neatly. 4. I would also suggest the company to appoint personnel who would look after the website. The job assigned to him would be to update, refresh, maintain, and make the website virusfree. 5. Thus, using these recommendations the organization would benefit from rather obsolete website to a new 21st century latest one.
