National Foods began its journey in 1970 as a Spice company, with a revolutionary product that
popularized the concept of having clean, healthy food. National foods‟ initiatives were, to make food
that is hygienic, reduce time spent in the kitchen by women, foster health and contribute towards
personal attractiveness, so that people who use our products would be able to experience a more
rewarding life-style.
This was long before the phrase „Corporate Mission‟ had even been invented. However, our founder’s
philosophy remains unchanged over time. Even if their language – and the notion of only women doing
the housework – have become outdated, in this age of rapidly changing lifestyles, fuelled by the
rampant development of technology; consumers are compelled to alter their eating habits. National

world. National Foods produces over 300 SKU's in 12 major product categories including meal solutions,

Code of Conduct and Business Practices:
NFL believes in conducting its operations with strong ethical and moral standards. NFLs statement of
code of conduct & business practices aims to provide guidance on carrying out its business related
decisions and activities. We wish to achieve excellence in all spheres of our operations for which code of
conduct form the basis. Any party entering any form of contract with NFL is bound to comply with the
given guidelines. NFLs statement of code of conduct & business practices has the following seven
guidelines:
1. Unfair Means:
Any use of bribery, kickbacks or any form of payment in cash/kind to obtain business related or
otherwise gainful benefit for the company is strictly prohibited. Excessive business gifts and
entertainment also hold the same meaning and NFL does not approve of such payments.
2. Respect and Integrity:
NFL believes in giving respect to individuals. We aim to operate in a manner that discourages
discrimination, harassment and/or influence. Discrimination refers to favoritism based on a particular
aspect of an individual’s personality. Harassment includes gender harassment creating an intimidation,
hostile or offensive work environment causing interference with work performance. Influence could be
an abuse of authority or the wish to alter personal believes.

3. Conflict of Interest:
NFL prohibits actions that are in conflict with the company business interests. This may include but is
not limited to:
• Providing assistance to the competition or holding ownership interests in a customer, supplier,
distributor or competitor.

expects employees not to disclose or divulge by any means the confidential and commercially sensitive

DEPARTMENT WISE PROCESS OF NATIONAL FOODS
There are seven major departments in National Foods:
Store Department and Production Department
Procurement/supply chain management
Human Resource Management
Finance
Research and development
Marketing

STORE DEPARTMENT & PRODUCTION DEPARTMENT
The purpose of the store department is to maintain the stores of the
company‟s raw material. On receiving the purchase order the store
department prepared the necessary space and atmospheric conditions and
safety request for the material. On the receiving of the material the store
department makes a MRR (Material Receiving Report). These bills and
report are then given to the production department for the issue of material
for production. Store department issues the necessary material to the
procurement department and the production department processes the
material for the finished goods. In the mean time the store department
reduces the inventory for the raw material to wip account.

When the

production department finished the process, the finished goods moved to the
store department and the store department added the inventory as finished
goods produced. When this finished goods moved out of the store, a delivery
chalan has been made and invoice for the transportation issued. Then finally
the finished goods produced were gone to the distributors for selling
purposes.

OPERATIONS
The duty of the finance department is to get the stream of depreciation on
each and every thing. Normally the depreciation charged on the plant and
machinery is 10% of the book value and on the motor vehicle it is 20%.
As far as tax is concerned the company has to bear taxes on its distributors
and the products. As far as distributors are concerned the company has
registered and non-registered distributors. For its registered distributors the
company has to pay 15% duty and for non-registered distributors the
amount of the duty is 16.5%. Moreover the burden of tax never ends up
here. It has to give taxes on all the material imported from abroad. The tax
is known as import tax.
The stream of taxes is also depending upon from product to product basis.
Such as the application of the sales tax is highly dependent on the product.
Pickle has some other tax basis and the ketchup and sauces have others.
Managerial positions in Operations department:
Following are the managerial position employees and their work is explained below.
Factory Manager
To organize and control all production within the factory to achieve all output targets in terms
of quantity, quality, yield, wastage, unit costs, and in accordance with quality standards.
• Direct and control all factory staff to ensure that they are properly motivated, trained and
developed, and carry out their responsibilities to the required standards and in accordance with
quality standards.
• Organize all production operations to ensure that output and quality targets are achieved and
that all relevant health, safety and hygiene standards are observed.
• Develop and monitor all necessary procedures to ensure the continued efficient operation
and supply of services provided by utilities.
• Develop and implement short- and long-term plans to ensure that the factory has the

necessary resources to meet business objectives.
• Develop effective working relationships with all employees and employees' representatives to
ensure the maintenance of harmonious employee relations within the factory.

Manager Engineering & Production
Engineering:
• To plan, develop, execute & control the ongoing system & personnel. To Manage & conduct
the Maintenance & Upgrade all plants and machineries.
• To Plan and Implement the Preventive maintenance of all machines & equipment on daily,
weekly, monthly, quarterly, biannual & annual basis.
• To design & implement all machine checklists. To ensure the availability of machine spare
parts for smooth production. To plan & design the new product projects.
Production Planning & Control:
• To meet the required QUALITY Production.
• To prepare Production plan & Material resource plan (MRP) on weekly, monthly & quarterly
basis. To compare the forecast with production & sales.
• To manage the synchronization of processes in all inter-related sections.
• To coordinate with Quality Department for development of standard specifications in line
with Govt. of Pakistan food laws and international quality standards.
• To coordinate with Printing Department for development of packaging design.
Planning & Development:
• To work in close coordination with Marketing and Quality Team for new product
development from idea inception to realization.
• To conduct time and motion study to identify modification in existing infrastructure of
machines and equipment.
• Devising strategies for productivity improvement through process automation.
• To prepare & implement the system procedures for all departments as per ISO requirements.

General Manager Supply Chain
Deliver hands-on operational and strategic leadership to the senior management team to
ensure that the supply chain infrastructure robustly delivers across all areas of the planning,
purchasing, production, Engineering, logistics, warehousing & customer service functions.
• Blend commercial acumen with practical solutions to lead a process review for the delivery of
measurable improvements.

• Supply chain optimization through cost reduction, enhanced stock lead time and improved
inventory management.
• Ensure yield from the raw material according to the bench mark set for the different
products.
• Analyze market trends of prices and availability of raw and packaging materials. Analyze and
ensure compliance of annual, monthly, weekly and daily supply plan.
• Analyze annual production, purchase and resource planning. Analyze annual and monthly
Master production schedule and rough cut capacity plan. Analyze annual and monthly MRP and
capacity resource planning.
• Analyze Work collaboratively with all stakeholders including manufacturing and 3PL
providers.
• Custodian of Sales and Operational planning and conduct SNOP meetings on annual and
monthly basis.
• Ensure that inventories of raw, packaging and WIP are kept at the minimum levels to avoid
blocking Company’s financial resources unnecessary.
• Monitor and effectively control the operations of all nationwide warehouses of the company
to ensure efficiency cost control, maximize fill rate and customer satisfaction.
• Support & develop Supply Chain department through on line training, Create & manage
schedule of projects while handling any new emergency services
• Oversee & maintain operations of all supply chain departments and provide assistance,
coaching & training to employees on an as needed basis.

Manager Quality operations
Develop and enforce a plan whereby the quality of raw materials, work-in-process and finished
products is checked at every stage of handling and production as per Company’s approved
quality standards, so that Shan’s products meet superior levels of quality and reliability and
result in complete customer satisfaction
Ensure that the environment throughout the food processing cycle is maintained according to
the cGMP standards, through effective verification and validation of control measures
Monitor and ensure that all products are manufactured conforming to the National and
International standards and legislation (FDA,Codex,ASTA etc) applicable to food processing,
food labeling and end products
Work for continuous enhancement of customer satisfaction against complaints, provide
feedback with strong follow-ups and compliance and take corrective and preventive actions to
avoid recurrence of non-conformance
Work as a MR for system implementation and internal and external audit like ISO 9001-

2008,Halal Certification and ISO 22000 Certification..

Inventory system in ware houses, normally NFL use FIFO system for regular
materials and LIFO system for seasonal material e.g. mangoes, carrot and chili to

HUMAN RESOURCE DEPARTMENT
HR activities involve:
 Personal activities of employees & workers
 Hiring [hiring of employees on the bases of skills like supervisors are
permanent and skilled employees. Un-skilled and semi skilled are on
the temporary bases NFL hire them.
 Training and development [(sales development) as national food
giving training to the farmers who supplies chili, because of avoiding
dust].
 Skill development program [The adult literacy program carried out
by National Foods‟ Pakistan is unique in the sense that this is the only
company in Pakistan that is working for it illiterate workers. The idea
of this program carries is to provide basic education to each and every
employee of the company.
 Annual evaluation system (Through policy documentation service
manuals)
MARKETING DEPARTMENT
The marketing department serves as a backbone in the corporation and
hence the role of it is supposed to be the most important. The market
department in any organization is responsible for the marketing of the
company‟s product and to make efforts to build company‟s image in the
market or with the customers.
The

has

maintained

a

separate

marketing

department that is responsible for marketing the various products produce
by the company. The activities of marketing department start with the need
identification of customers in the market. They along with the help of finance

department personals develop forecasted sales of the products offered by
the company, the forecasted figures are than handed over to the
procurement department for the purchase of raw materials.
The company is involved in the indirect sales activities; there is always a
middle-man involved in the company and retailers.

Supply Chain Management
PROCUREMENT DEPARTMENT
The purpose of procurement department is to arrange the purchases for the
respective departments. Procurement is somewhat different from purchasing
department. Purchasing is solely related to the purchasing of the different
products but it would not link to the other departments. In the process of
the procurement the department searches the product best suitable and
gives it to the department needing the product.
The procurement department of National Foods is quite good and well
maintained. It included 4 key personals involved. Although there are many a
people involved in procurement but these 4 are main. The procurement
department follows a special pattern or process for the procurement of the
products. Sometimes procurement is done on the routine basis and
sometimes or the others it is on daily or sudden on time basis. For the
routine basis large items procurement is made on the following patterns:
1. FORECAST
Each and every department is liable to tell the procurement department
according to their estimate. Different departments make forecast on annual

basis and give the request to the procurement department. Then these
forecasts are kept in records and cumulate with all other department
forecasts.

2. PLANNING PURCHASING REQUEST
After all the forecasts have been cumulated, a purchase requisition has been
prepared. This requisition is the cumulative of all the products.
3. PROCUREMENT DEPARTMENT
When all these things have been completed, the procurement department
comes

and

search

for

the

available

product

ranges

with

specification. At times for larger orders, it also asks for bids. The
procurement department then analysis all the bids. NFL negotiates with
competitive rates of three or four suppliers of the specific products, where
they got lower cost with good quality.
3. PURCHASE ORDER
After the final analysis the purchase order has been made to the name of
the supplier or bidder. And then the product or the material has finally been
acquired.
As National Foods is concerned mostly with the agricultural products
because all the products made use crops as raw material. Mostly the raw
material is seasonal. At times some crops grow and some would not. So it is
the liability of the procurement department to maintain the stream of the
raw material. So for seasonal products, National food purchased 30 lack tons
of mangoes and 1800 lacks tons of carrot it acquired raw material early and

makes it safe with frozen refrigerators. An example would be the case of
tomato paste, which is mostly imported from abroad [China]. The
procurement department usually purchases stocks and it is also evident that
before purchasing the quality has been checked according to the specific
measures set before.
The company is very strict towards the supplier side. This is because of the
regular check on the quality and maintains the standards of ISO 9002. For
the fulfillment of this specific purpose, company is maintaining an evaluation
form to check the supplier. The purpose of the evaluation is:
AS TO CHECK THE SUPPLIER
The supplier fills it and the supplier has to write down the names of those
companies to which it is presently supplying. If the supplier is supplying the
raw material to well renowned credibility that it is a good one.
CERTIFICATION OF QUALITY
As National Foods main emphasis is on quality that is why it is highly
concentrating on the factor that its supplier should be ISO certified. Because
if the raw material would not be of the premium quality, the product cannot
be as good, to obtain the standards of quality.
ENVIRONMENT AND ATMOSPHERE
The supplier„s business environment is also checked by National Foods.
Whether the supplier is in political habit or not. If this would be the case
supplier will be rejected, as it cannot fulfill the raw material request any time
or the flow of raw material cannot be steady.

SOUNDNESS OF THE PARTY
The supplier should be sound means that it should have a good credibility
and ability to meet large raw material requirements. If the supplier is not
good enough to give credit or it cannot handle large contracts due to the
unavailability of working capital, it will again be a hassle for the company
that is the reason that soundness is necessary.
“EVALUATION FORM”
For the smooth running of the procurement department, firstly everything to
be purchased is budgeted. Every department makes it own budget to set the
completion of its requirement. These requirements are then sent to the
procurement department. The procurement department then makes connect
with the finance department for the approval of the necessary amount
required. The finance department approves the required amount and the
procurement takes place.

SWOT ANALYSIS
SWOT analysis plays an important role to evaluate the performance of any organization. This is most
commonly followed set pattern to analyze the strength, weakness, opportunities and threats. For any
company strength and weakness are internal elements and threats and opportunities always come from
outside the organization. Now we perform a detailed SWOT analysis considering the National foods.
STRENGTHS
BROAD PRODUCT LINE:
National food has very broad product line that includes different types of Masala powders, Kheer mix,
Ketchup, Custard powder, Pastes, Achar and many more.
BROAD MARKET COVERAGE:
National food occupies 80% market share in powder mix market and one very obvious reason for that is
strong and very broad market coverage. According to Sales and purchase Manager National food, they
have excellent market coverage all over Pakistan and citizens of each city have easy access to sales and
display centers.
MANUFACTURING COMPETENCE:
National food has engineering and technical staff of the highest caliber that is capable of manufacturing
such products that differentiates National food products from its competitors. National food posses
specific manufacturing competence for example uses of imported machinery and a high quality
ingredients in manufacturing of powder mix that maintain the quality of product.

GOOD MARKETING SKILLS:
National food’s efficient marketing team in Pakistan has over the years played a crucial role in
developing public awareness. National food has its own in-house advertising agency for promoting all
National food’s products.
ENHANCED RESEARCH AND DEVELOPMENT:
National food emphasizes on Research and Development department to a great deal. Chief executive of
National food has hired a team of R & D himself and he makes sure that ongoing improvement in the
existing National food products range is a continuous activity. Efficient R and D department is
considered as a vital strength of company.
BRAND NAME REPUTATION:
National food is among those few brand names that have earned a lot on the basis of its brand
reputation. However the fact is that company has seen tiring 34 years of hard work to achieve this brand
image. Brand name is a source of vital strength for the company and is known all over the market place.

Organizational hierarchy at National food is very functional and appropriate. Company top management
consists of the Chief executive and Managing director. Then there are middle managers of concerned

EXPANDING INTO FOREIGN MARKETS:
The biggest opportunity for National food currently is exploiting new market segments. After achieving
good market coverage all over Pakistan, National food is now trying to expand its business in Middle
East and Central Asian states.

EXPANSION OF CORE BUSINESS:
National food started as powder mix producers but soon after gaining rapid market shares in powder
mix, Company considered expansion of core business as a major opportunity. Today Company has wide
range of products that it has achieved by expanding the core business.
ENTERING RELATED BUSINESS:
Entering those new businesses that are related to current business is a high potential opportunity. For
example company has entered the related businesses like Kheer mix, Ketchup, Custard powder, Pastes,
Achar and many other things.
THREATS
NEW ENTRANTS: The biggest threat for the Company has been the entry of new competitors in the
market has made National food management think that they will have to adjust the pricing or to provide
some handsome incentives to customers in competition with other brands in market because Company
does not want to lose its market share.
NO BARRIERS ON ENTRY:
Government has not fixed any hard rules upon the entrants in this industry. Any group of companies
that is financially strong can enter this industry without facing any strict barriers. This is another threat
for National food that more and more entrants are coming in this industry and the profit margin
shrinking gradually.
NEW FORM OF INDUSTRY COMPETITION:
In Pakistan, some other companies like Star has started competing National food with its Custard
powder and Achar. It has formed a new form of industry competition. Star is producing its products at a
cheaper price and price war is already on.
GOVERNMENT LEGISLATION:
The production department of National food uses special machinery that has to be imported from
abroad. Government has fixed a quota system that company cannot import. It’s more 'than a specific
ratio. This quota system is creating a threat for company and soon company needs to find an alternative.

PLANNING STRATEGY AND GOALS
