Grants Pre-Award: This is the easy side. More like data entry. Criteria for PREAWARD: FED -> State Federal Side: -Within an agency they go and apply for a grant. Every year they have to reapply. For example: grant.gov, FDE.gov, etc. They find a grant look at the description and decide to apply. -Agency needs to make sure they qualify through eligibility and the federal sponsor is the agency to whom you are applying to for that grant. -If the grant has matching then it needs to be matched by whoever is matching. -Once the application has been submitted you have completed you must await decision. 1. APPLY 2. SUBMIT 3. AWAIT DECISION State Side: 1. You now have to load data into FSF (agency responsibility) 2. You must request for SAI # from OMB 3. Must be scheduled for clearing house (there is a 60 day window for scheduling for the clearing house) 4. SPOC (Single Point of Contact) is a form you fill out and submit - - Single document that highlights the grant State wants following items: - Electronic copy of grant application in system - Attach within system to SPOC - A hardcopy of the application and SPOC sent to OMB * Think of it like a college application. You apply to the college and then wait to hear a response. In the meanwhile you are sitting at home with mom and dad saying how much is all of this going to cost? What is the plan for this? - THEN: Must be loaded into the system to generate SYSTEM SAI #. So grants sort of have two SAI’s; a state and a system. When a user calls in we need their SYSTEM SAI NUMBER! If the user starts using some strange numerical number sequence they are giving you state number. Say nope, I need system sai#. It will start with SAI. Proper procedure: Load it into the system -> generate SAI# -> submit into workflow

To do this in system: Grants -> Proposal _> Maintain Proposal _> click add a new value See “Grants Pre-Award” Handout

If you ever get a call where they say, the person will not show up in the PI ID box, you have to walk them through: Grants-> Professionals -> Professional Data -> Enter employees name or ID. Once you bring the employee up, scroll to the bottom and check the “Eligible PI” Box. See below:

In projects tab – fields populated by proposal tab They might need to add a project. Then they click the plus sign and add the information.

Resource tab: Must do this first before you go back to the budget and put the budget in Resource tab is where the person enters the workflow as it pertains to grants: o SS – Support Staff o PI – Principal Investigator o DFC – Department Fiscal Contact There is no adhoc-ing in the grant workflow.

Remember: A proposal will sit out there for 70 to 80 days waiting to get approval from the clearing house. The DFC doess not approve until they have sent it to OMB.
