The IPA Directory 2011 The IPA has developed a wide range of services for its members in the advertising, media and marketing communications industry. This directory outlines them and provides the key contact in each instance. You can also find a wealth of information on our website; follow our activities on Facebook, Twitter and LinkedIn; and keep up-to-date with our events and news through our weekly online newsletter.

Home to the IPA online, where you’ll find up-to-date information on our activities and an A-Z listing of everything we do. There are free brand films to watch, ads to review or post, a variety of different courses and evenings to attend, a plethora of free guidance notes to read, jobs to f ind and much more. In fact there is everything you need to succeed in our industry. It’s also a window into your business. Every member agency has its own page in the agency list which allows it to profile itself in the way it wants and gives key information such as location, contact details, key people, IPA awards won, client list and website link. The traffic to these pages is high as they are regularly used by clients looking for agencies and by prospective job applicants. There is also a direct link to these pages from the ISBA, CIM and Marketing Society websites. There is also a window into www.allourbestwork.com, which showcases work from more than 80 agencies as it appears. Every December, we promote Christmas work as a special category. All you need to do to access the IPA website is to log on and register if you haven’t already. We will then allocate you with either member status (open access) or guest status (restricted access). There is no charge. You can then choose how you’d like to keep in touch (see My IPA).

Help with pitching The IPA has a comprehensive Pitch Pack which is designed to help agencies manage the process efficiently and effectively and so eliminate the potential for ‘waste’ in the system (currently estimated to be a collective annual loss of £32m for agencies).
It contains — A questionnaire for clients which also serves to outline pitch protocols — A non-disclosure agreement — Information on intellectual property rights and the pitch material register — Post-pitch evaluation forms There is also an industry-agreed request for information template (RFI) to assist in tendering processes. We’d like to hear from you if you are being asked to pitch on an unfair basis. Unfair can mean an excessively long list, unprofessional conduct or unfair demands with regards to intellectual property rights. The IPA writes around 400 letters a year to advertisers who are known to be reviewing to ensure they have access to the industry-agreed best practice guidance note: Finding an Agency. Because of this activity we now have a database of pitching companies and can spot trends and consistent patterns of behaviour.

Legal advice Over 85% of our members make use of our free legal advisory service, which covers a wide range of subjects relevant to marketing communications within UK law, including:
— Copyright, trade marks, passing-off and moral rights — Data protection — Competitions, prize promotions and gambling — Contractual issues including advice on the interpretation and use of the industry’s client-agency and TV production contracts — Industry self-regulation and the interpretation of the CAP and BCAP Codes — Television and radio clearance through Clearcast and the RACC We also publish useful material online including guidance notes and precedent contracts.

Dispute resolution Preliminary advice is provided in relation to disputes and the team can also advise on suitable law firms to represent members if formal proceedings are issued against them. LegRegs Certificate While we are here to help, we also need to make sure that everyone working on an agency account management team has a good grounding in the legal basics so they avoid making what could turn out to be an expensive mistake. We do this through an online learning programme called LegRegs which covers basic intellectual property law. This programme is a mandatory IPA CPD requirement for Account Directors. All new members also receive a complimentary hardback copy of Ad Law. Employment advice Members can also contact our employment lawyer, Juliet Bawtree, on HR issues. Areas typically covered are:
General employment issues These include those relating to: disciplinaries and grievances; conduct and capability; absence management; retirement; discrimination issues such as ageism, sexism, racism and maternity rights; and redundancy/restructures and other dismissals, whether arising through capability or disciplinary proceedings. TUPE transfers The industry is becoming more knowledgeable about both the rights and obligations of an incumbent agency losing a client account and the new agency that has won it. The IPA advises on both scenarios and has a comprehensive yet easy to follow step by step Pocket Guide to TUPE as well as a voluntary TUPE Protocol created together with ISBA and Lewis Silkin. Contractual issues We advise on standard employment contracts and contractual issues that may arise on recruitment and termination.

Maternity and Paternity Rights This covers a broad range of issues such as: flexible working requests; redundancy and maternity leave; rights gained from employee notification of pregnancy to return from maternity leave; and paternity leave and pay. Professional development The IPA champions Continuous Professional Development (CPD) to instil a culture of learning in member agencies as a platform for business success.
Our courses and qualifications are for all staff, of all disciplines and levels. Every year more than 1,000 members take part in our Foundation, Advanced and Excellence programme either as delegates, tutors or chairmen. We also host a forum for those responsible for training in their agency so that ideas can be pooled and information on external trainers can be shared. IPA Groups also run ad hoc events to appeal to their communities. For example, there can be strategy debates or events surrounding new technology. IPA Groups also ensure their sectors are represented in the wider IPA CPD programme as seen in the new online qualifications for search and effectiveness (The Eff Test).

Foundation, Advanced and Excellence levels Our three-tiered programme is designed to support members at every stage of their career. Each level offers a variety of different development opportunities centred around: people and leadership skills, business skills, core craft skills, and brands and brand communications. We also run events just to inspire! — Foundation level is aimed at people with up to three years’ experience. — Advanced level is for people of any discipline with between 3 -6 years’ experience who are looking to move into more senior positions. — Excellence level is for people with 6+ years’ experience who are looking for a leadership position within their company. Professional qualifications As part of our drive to raise the real and perceived value of agency practitioners, the IPA also has an examined qualifications programme. Aimed at encouraging greater understanding of brand communications and brand management the qualifications comprise: The IPA Foundation Certificate, The IPA Advanced Certificate, The IPA Excellence Diploma, The Eff Test, The Search Certificate and IPA LegRegs (mandatory requirement for all account directors in creative agencies). Most can be taken online.

Specialist examined courses We also offer two specialist, examined, courses: TV Production Knowledge and Creative Services Introduction. Continuous Professional Development standard All the IPA courses, qualifications, examined courses and workshops complement a wide range of professional development opportunities that now take place in IPA member agencies. Commitment to the IPA best practice CPD Accreditation Standard has been a mandatory requirement of IPA membership since 2000 to raise and demonstrate the professional standing of the agency business. The Standard comprises five key business indicators: demonstrable staff development plans linked to business objectives, induction programmes, appraisal systems, the maintenance of a CPD diary by each individual that records a minimum of 24 hours of learning per year, and for agencies producing creative content, their account directors to have acquired the free online certificate of competence in legal and regulatory measures (LegRegs). There are over 14,000 live CPD diaries managed by the IPA website.

CPD Awards Each year the IPA recognises those agencies who have demonstrated an exceptional professional development programme with Gold Awards. To be included in the awards programme, agencies are required to write a paper demonstrating the success of their CPD activities. These are then judged by a senior panel of client and agency practitioners and published on the IPA website after the awards ceremony, which is part of the Members’ Lunch, in April. Careers/Diagonal Thinking/Student blog We run a number of initiatives for people interested in “Adland”, including events for careers advisors, creative and account management summer schools for second and third-year degree students and two online self-assessment tests which are open to everyone. All these initiatives are outlined on our careers page at www.ipa.co.uk which also posts agency graduate recruitment vacancies with the allimportant application deadlines as well as advice on what to expect at, and how to shine at, an interview. It takes around two hours to complete and has now been accessed by more than 11,000 people looking for a job in Adland and is fast becoming a standard test both in agency recruitment and internal agency promotion. Accessing marketing information The IPA Information Centre aims for a 48-hour response time for enquiries on:
— Brands, markets and industry sectors (sourced from LexisNexis, the online news database with over 32,000 UK and worldwide sources, Brand Republic, McKinsey and more).* — Statistics: demographics, market sizes, advertising research, including an IPA member-subscription discount to Warc and over 40 advertising journals. — Any of the 1,400-plus IPA brand case studies that are part of the IPA Databank.* Infosearch You can also undertake your own initial online search via our website through the infosearch button. Infosearch is a repository for general agency queries so you may find that the answer you need is already there.

IPA tenders We also offer online access to all advertising and marketing communications-related contracts put out to tender by public bodies in the UK and the rest of the European Union. This is a free service to IPA members, which gives subscribing agencies information on the daily tender notices published within the Official Journal of the European Union. This makes tenders a potentially huge source of income and a vital new business tool for subscribing agencies. Media research If your job is to buy media research, membership of the IPA gives you discounts on ABC, BARB, NRS and POSTAR subscriptions.
TouchPoints Separately, you can also subscribe to IPA TouchPoints, a unique, consumer-focused research survey which has been produced by the IPA in response to the needs of the communications industry. Now on its third iteration and with the fourth in planning, TouchPoints provides two distinct databases. The first, the Hub Survey, gives an unprecedented view of ‘a week in the life’ of consumer behaviour. The second, the TouchPoints Channel Planner, is the only industry available, multi-media channel planner, created by integrating the industry media currencies with the Hub Survey. Room and terrace hire There are five conference/ meeting rooms and an outside terrace that can be hired at our offices at 44 Belgrave Square, SW1 on a half or full-day basis. Nearest tube Hyde Park Corner (Piccadilly Line).

The rooms vary in size and have modern AV equipment and are fully air-conditioned. Two large adjoining rooms on the first floor can seat approximately 70 and 40 each in theatre style or 150 standing (with catering). The Penthouse room can seat 25 for dinner or be set up to seat 30 in theatre style. A smaller suite of adjoining rooms on the first floor can comfortably seat eight with a separate room for catering set-up and/or coats. A ground floor terrace is open during the summer months and can accommodate 50 people for a drinks party or two smaller meeting spaces. Built in a modern style on a split level with under-lit glass and slate flooring and surrounded by tall grass foliage, it can also be set up to seat two tables of eight. Key datasets As well as compiling and monitoring data on the industry’s financial standing, the IPA publishes the following statistical information:
Census The IPA has published an annual Agency Census since 1960. Survey information is gathered in September and is published the following January. Information covers total employee numbers by job function, sex and location. Bellwether Reports The Bellwether Report is published every quarter (mid January, mid April, mid July and mid October) by Markit and is available on an annual subscription or as individual reports (PDF). Its purpose is to track client spending intentions and since it was established in July 2000 it has accurately forecasted both the top and bottom of the market. Every member CEO receives the headline information on the day of publication. Prices start at £99 with special rates for members. AA – The Advertising Association is the tripartite umbrella body for all the industry’s trade associations, representing clients, media owners and agencies, and we work with them to defend the freedom to advertise responsibly and to lobby Government and key consumer groups. Association of Online Publishers. We work closely with the AOP on UKOM. Account Planning Group. We work closely with the APG in sharing best practice which includes our regular media and marketing appraisals which review all published literature on marcomms, and our media neutral planning course. Advertising Standards Authority. IPA members are obligated to abide by the codes and to uphold ASA adjudications and work to ensure the future and effectiveness of the self-regulatory system, which covers press, broadcasting and online. The Department for Innovation, Business and Skills (formerly the DTI). We work closely with BIS on initiatives to promote Creative Britain. The British Print Industries Federation represents the UK print, printed packaging and graphic communication industry. We work with them on issues such as direct mail VAT. China Advertising Association is the industrial organisation of the advertising sector in China and its membership consists of brand owners, advertising agencies and media owners. The Cinema Advertising Association is the trade body for cinema advertising contractors operating in the UK and Eire. The IPA has been working with this organisation on matters relating to the clearance of cinema commercials. The China-Britain Business Council is the UK’s leading organisation helping British companies grow and develop their business in China. The Confederation of British Industry’s mission is to help create and sustain the conditions in which businesses in the UK can compete and prosper for the benefit of all. The IPA is a member of the CBI and contributes to their creative industries agenda. Chartered Institute of Marketing. We work with this leading body for marketing and sales professionals on books on new thinking. The Chartered Institute of Management Accountants is responsible for the education and training of management accountants who work in industry, commerce, not-for-profit and public sector organisations.

The Chartered Institute of Public Relations is the professional body for PR practitioners. The Chartered Institute of Purchasing & Supply is an international organisation, based in the UK, serving the purchasing and supply profession. Clearcast (formerly BACC) gives pre-transmission approval of advertisements for all major UK television broadcasts. We work both with Clearcast and our members to ensure a quick and transparent service. Clearcast views approximately 3,000 commercials/scripts each month for copy clearance. The Central Office of Information is the Government’s centre of excellence for marketing and communications. In 2011 this is being renamed the Government Communication Centre (GCC). British Design & Art Direction is a professional association for advertising and design agencies. The IPA works with D&AD on creative projects – for example, the D&AD/IPA creative manifesto to promote creative careers in advertising. We’ve also worked together to exhibit creative work. Department for Culture Media and Sport. We work closely with the DCMS on their annual creative industries mapping document and through our submissions on media issues. Design Business Association. Its members work in product, packaging and corporate identity design. The Direct Marketing Association is a tripartite representing all direct marketing interests. European Association of Communication Agencies is based in Brussels and its primary role is to represent the interests of agencies in the EU. Electronic Communications Group. We work closely with this Group of television companies in the development of e-commerce systems. The International Advertising Association. The IPA is a member of the IAA, which has 4,000 members worldwide. Its role is to champion the freedom to advertise responsibly without unwarranted restrictions, and to raise standards of professional development through leading edge training and education. Its events are listed on the IPA’s website. Internet Advertising Bureau. The IPA has worked with this tripartite organisation on terms and conditions for trading online, and on establishing UKOM. Institute of Direct Marketing. We work with the IDM to provide access to training opportunities in the direct marketing specialisation. Formerly the ISP, the Institute of Promotional Marketing is a tripartite representing the interests of sales promotion. The Incorporated Society of British Advertisers is the client trade body and we work closely with ISBA in a number of ways: on media ownership issues, on all our industry best practice guidelines and on contractual advice.

The Newspaper Society represents and promotes the interests of the publishers of Britain’s regional and local press and we work with them on the industry’s readership research contracts. The Newspaper Publishers Association is the trade association for British national newspapers and its role is to represent, protect and promote the national newspaper industry. We work with the NPA on readership research. Formerly the OAA – now the Outdoor Media Centre. The IPA Outdoor Group works with the OMC on all outdoor issues, including creativity and digital. Launched in December 2003 to replace the five previous regulatory bodies in the media industry – it has responsibilities across television, radio, telecommunications and wireless communications services – worth an estimated £40bn a year. The IPA works closely with Ofcom, not only on media issues via its Media Futures’ Group, but also on matters of content regulation. Publicity Club of London. The IPA is a member of PCL; a crossdiscipline organisation with members drawn from advertising, DM, marketing, digital, PR and media. RAJAR – Radio Joint Audience Research Ltd provides audience measurement for the radio industry; it is jointly owned by the BBC and RadioCentre. The IPA is represented at all levels on RAJAR. The Audit Bureau of Circulations is the UK circulation auditing body for newspapers, magazines, exhibitions and online databases. The IPA is represented on its Board and Working Parties. The Broadcasters’ Audience Research Board provides the main source of television audience research in the UK and represents the major UK broadcasters (BBC, ITV, Channel 4, Five, BSkyB) and the IPA. JICREG – The Joint Industry Committee for Regional Press Research provides information for regional and local newspapers and has a database of readership profiles for all areas of the UK, by postcode. The IPA is represented on the JICREG Board and technical groups. JICRIT – Joint Industry Committee for Radio IT Futures. The IPA is a partner in this group which has developed electronic verification and messaging for the radio industry.
