col l aborate the content, documents, and records.

busi ness processes, si mpl i fyi ng to fi nd and share i nformati on across boundari es and enabli ng i nformed
deci si ons.
SharePoi nt Foundati on 2010 or SharePoi nt Server 2010 provi des coll aborati ng fea tures, which makes i t handy
for end users to create, manage, bui l d SharePoi nt si tes and share i nformati on qui ckl y.
Wi th SharePoi nt 2013 the concept of apps, mobi l e vi ews enabl e users to workout anywhere usi ng mobi l e al so.
Users can downl oad the apps i n the mobi l e.

1.2 CMS, DMS & RMS
Before taki ng a deep di ve i n SharePoi nt, l et us understand the three key systems content management system,
Document management system and Record management system. Most of the abili ti es of these systems have
been i ncorporated i n SharePoi nt.
Content Management System: Content i s a pi ece of di gi tal data, which becomes i nformati on, for users
accordi ng to thei r needs. Content can be i n any form document, i mages, pi ctures, sound, vi deo, emai l , Web
Pages, websi tes, etc. Content management system enabl es the fl ow and edi ti ng of the content i n user -fri endl y
approach.
In precise “Content management system enabl es to create, edi t and publ i sh data, constrai ned wi th a set of
rul es, val i dations and workfl ow that ensure val i dated content”.
Key Features of CMS are:
1. WYSIWYG [What you see i s what you get]: The edi tor di splays the content as the fi nal output, and
make easi er for user to vi ew the fi nal output.
2. Customi zati on: CMS enabl es to customi ze the user requi rements and accommodate them rather than
usi ng the defaul t setti ngs.
3. Ri ch Mul ti medi a Support: Support vari ous types of fi l es, web pages, web content.
4. Search: Search for vari ous data types and content types on the basi s of keywords
5. Workfl ow: approvi ng and authori zi ng the content i n user defi ned steps.
Document Management System: Document i s the di gi tal data stored i n the form of word, excel , PowerPoi nt,
PDF format. DMS enabl es users to create, store, manage expi ry and retri eval of documents wi th ease.
Key Features of DMS are:
1. Metadata: The documents are bei ng stored wi th keywords, which enabl e searchi ng the documents
easi l y.
2. Capture: Enabl e to store the scanned documents i n the form of i mages /documents.
3. Securi ty: Documents bei ng created are secured on the basi s of user rol es and ri ghts
4. Integrati on: Integrati ng vari ous external systems to document management system, so that
documents can be shared easi l y.

Record Management System: Record is the set of i nterrel ated pi ece of i nformati on related to enti ty. Record
management system enabl es creati on and edi ti ng of records from i ts ori gi nati on until i ts disposal . Si mpl e
exampl e of records i n an organi zati on coul d be empl oyee i nformati on, personal detai l s, Bi rth Certi fi ca te, etc.
Key Features of RMS are:
1. Sorti ng/Indexi ng: The Records bei ng stored are arranged i n ascendi ng or descendi ng order.
2. Normal i zati on: Removi ng redundant records and stori ng uni que i nformati on
3. Securi ty: Provi di ng the secure user rol es and ri ghts for the records to be vi ewed and created
4. Workfl ow: Defi ni ng the fl ow of records on the basi s of users ri ghts

1.3 History of SharePoint
Devel opment of SharePoi nt has a l ong hi story; many pre products were created befor e actual product came to
exi stence.


Pre-SharePoint
Before SharePoi nt 2003, i n 1996 Microsoft launched a product call ed Mi crosoft Si te Server for managi ng
websi tes and the user's authenti cati on/authori zati on. In 1998, Mi crosoft l aunched Si te Server v 3.0 wi th
fol l owi ng features:

 Content Management
 Product Management
 Order Processi ng
 Si te Personal i zation
 Ad Server
Si te server was a l ow-cost product wi th good content management abili ti es, but i t l acked document
management and taxonomi c abi l iti es.
In 1997, Microsoft came wi th Mi crosoft Offi ce FrontPage, whi ch had HTML WYSIWYG edi tor, used to create
and admi ni ster websi tes. Mi crosoft l aunched the l ast versi on of FrontPage i n 2003, havi ng abili ti es to vi ew
code, desi gn and support asp.NET.
Nei ther Si te Server nor FrontPage provi des the abili ty to col laborate di fferent i nformati on such as vi deos, fil es,
appl i cations, and documents.

Previous Versions of SharePoint
Two versi ons of SharePoi nt came out i n 2001.
1. SharePoi nt Team Servi ces (STS)
2. SharePoi nt Portal Server (SPS)
The SharePoi nt Team Servi ces (STS) devel oped from the Mi crosoft FrontPage, consi dered bottoms -up
technol ogy that means creati ng websi te was still l eft to end users. The websi tes created usi ng STS supports
maxi mum of 75 users. STS was also known as Office webserver. SharePoi nt Team Servi ces (STS) was i ntended
as a departmental Intranet and used SQL Server as backi ng store.
The SharePoi nt Portal Server (SPS) devel oped from the Si te Server, i s for si te admi nistrators. SPS i s used to
i ndex and search fi l es stored on STS.
There was still a cl ear disconnect between the STS and SPS. The move to i ntegrate thei r functi onali ty drove the
devel opment of SharePoi nt.


SharePoint 2003
Mi crosoft launched WSS 2.0 and SharePoi nt Server i n 2003 separatel y. Wi ndows SharePoi nt servi ce 2.0 was
freel y avail abl e as a component wi th Mi crosoft wi ndows server 2003. WSS 2.0 enabl es organi zati ons to create
websi tes and portal s easi ly for i nformati on sharing and document col l aboration.
SharePoi nt 2003 was consi dered the fi rst i ntegrated and comprehensi ve sol uti on for shari ng i nformati on, fil es,
appl icati ons, and creati ng websi tes. It i ntegrates the capabili ti es of STS and SPS. It all ows websi te & dashboard
creati on usi ng easy user i nterface. SharePoi nt 2003 server is a licensed product. It provi des all the features of
WSS 2.0 and many addi ti onal features.
SharePoi nt 2003, stores the enti re top-l evel si te confi gurati on and data i n a si ngl e database. Thi s li mi t`s, the
effecti ve si ze that a si te coll ecti on coul d grow; even backups and restores were ti me consumi ng. The web parts
(web parts are reusabl e components that di splay content on web pages) availabl e wer e more compati bl e, but
they were very compl ex to create. Permi ssi ons were cl umsy and di ffi cul t to mai ntai n.

SharePoint 2007
Mi crosoft upgraded WSS 2.0 to WSS 3.0 by sti l l keepi ng i t as freel y avai l abl e.
Unti l now, end users started enjoyi ng the experi ence of SharePoi nt and provi di ng feedback wi th the demand
of more and more new features. In 2007, Microsoft came up wi th the new product ter med as "SharePoi nt
2007". Thi s product was i n i ntegrati on wi th the Mi crosoft base offi ce user product call ed "Mi crosoft offi ce," so
Mi crosoft termed thi s product as "MOSS 2007 [Mi crosoft Offi ce SharePoi nt Portal Server 2007]. Moss 2007
i ntegrates wi th wi ndows server, SQL Server and the .Net Framework.
In the earli er versi ons of SharePoi nt, the pri mary si te-edi ti ng tool was FrontPage that at l east i n theory can be
used for other web creati on projects as well . Wi th SharePoi nt 2007, FrontPage was extensi vel y updated and
re-branded as Offi ce SharePoi nt Desi gner. SharePoi nt Desi gner all owed easy customi zati on of si tes wi thout
needi ng to wri te any code. Mi crosoft Office SharePoi nt Desi gner 2007 is a new product for creati ng and
customi zi ng Mi crosoft SharePoi nt Web si tes and buil di ng workfl ow-enabl ed applicati ons. It provi des the
professi onal quali ty desi gn tool s that you need to create great-l ooki ng SharePoi nt pages that are compati bl e
wi th a wi de range of browsers.
SharePoint 2010
The hunger and desi re to add more and mor e user-fri endl y features accordi ng to user needs conti nued and i n
Apri l 2010, Microsoft came up wi th the l atest versi on call ed “SharePoi nt 2010”. The technol ogy WSS 3.0 is
upgraded to “SharePoi nt Foundati on Server”. Li ke WSS 3.0 Mi crosoft conti nued i ts practi ce to keep the
technol ogy SharePoi nt foundati on server as free versi on. SharePoi nt latest versi ons 2010 centers i ts focus on
the Si tes, Communi ti es, Content, Search, Insi ght, and Composi te.
SharePoint 2013
The era of i nternet, that started from 1990`s grown up and now peopl e started demandi ng for mobi l e apps
wi th l ess storage. Mi crosoft provi des the abili ty to create apps usi ng SharePoi nt 2013. However, Mi crosoft
SharePoi nt 2013 provi des fol l owi ng key capabi li ties:

SharePoi nt is a server-based product; pri or to start usi ng SharePoi nt must be depl oyed. The product can be
depl oyed i n two ways:
1. On Premi se: Wi th an on-premi se depl oyment your organi zati on buil ds, confi gures, and manages i ts
own SharePoi nt envi ronment. You can do this usi ng many di fferent approaches, whi ch i ncl ude
mai ntai ni ng your own data center or dedi cated hosti ng i n an offsi te data center, partnered wi th a
hosti ng provi der.

2. Offi ce 365 SharePoi nt Subscri pti on: Offi ce 365 is a shared mul ti -tenant hosti ng experi ence wher e you
subscri be to SharePoi nt servi ces that are hosted and mai ntai ned by Mi crosoft i n i ts data centers. You
are gi ven a set of gui deli nes around storage space and devel opment opti ons and must foll ow those
wi thi n your envi ronment.

1.4 SharePoint Basic Elements
SharePoi nt si tes/Portals contai n vari ous el ements. Let`s take an exampl e of an academi c i nsti tuti on and see

how search resul ts are di splayed.

request form that was hi ghl y traffi cked, and user woul d be ri ght. However, wi th i ntegrated anal ytics,
SharePoi nt Search i denti fi es that peopl e searchi ng for “l eave request form” i t bypasses other content and
chooses the actual l eave request form. Once Search l earns which content peopl e are actuall y searchi ng for, the
search resul ts are i mproved.
Another huge i mprovement i s the abili ty to use query rul es to create promoted resul ts. As i n the previ ous
exampl e, you coul d speci fy that when users search for “l eave request form,” they be provi ded the form they
are l ooki ng for as a promoted resul t.
Search presentati on i s not the onl y thi ng that got an upgrade. Crawli ng gets a ni ce feature upgrade, too, wi th
Conti nuous Crawl . SharePoi nt search can now pl ace a content scope under “Conti nuous Crawl ," maki ng new
content appears i n search resul ts that much faster.
6. Simplified Licensing
Thi s is not so much a feature unto i tsel f, but i t is worth menti oni ng here because the i mprovements made to
the l i censi ng al low you to get access to features that were previ ousl y restri cted to addi ti onal l icense fees.
FAST Search, whi ch carri ed wi th i t an addi ti onal cost i n SharePoi nt 2010, is now i ntegrated i nto the SharePoi nt
2013 search servi ce – no extra l i cense, no extra fee.
In SharePoi nt 2010, you also had to take on the more expensi ve “For Internet Si tes” l icense i f your server
provi ded any services to Internet users. In SharePoi nt 2013, Internet users are i ncl uded as part of the Standard
and Enterpri se SharePoi nt Server l i censes. No more “FIS” l i cense concerns.
7. Increased Performance
Performance gai ns i n SharePoi nt 2013 are wi despread. The new versi on takes a streamli ned approach to
handl i ng data from the bi ts stored on disk to the appli cati on presentati on. For i nstance, onl y data that has
changed on a vi ewed webpage i s sent to the cli ent. Any pi eces of the SharePoi nt s i te that remai n unchanged
after the page i s updated stays presented from cache. A si milar approach was taken at the SQL l evel : If user
