urchasing and maintaining software is a costly activity.
The expense is not only wrapped up in licensing; but in-
cludes the time that goes into keeping software up to date,
installing it on new workstations, and maintaining the servers
needed to provide email and other business applications.
Microsoft’s Ofce 365, the successor to the current Busi-
ness Productivity Online Services, shifts a number of traditional
products and services from the server room to the Cloud. In-
cluded in Microsoft’s upcoming release of Ofce 365 are Micro-
soft Exchange 2010, SharePoint 2010, Lync Online, and the Ofce
Web Apps with (optional) licenses for the full Ofce Professional
Plus, plus a SharePoint-based public website. For an enterprise,
it promises convenience. For a small business, it is less expensive
and simpler than buying and managing a server.
Bundled Applications
As stated, Ofce 365 comes packaged with Exchange Online
2010, SharePoint 2010, Lync Online, and the Ofce Web Apps.
Some of these applications are familiar, such as Exchange and
Sharepoint, but others may not be as recognized. Lync Online is
the next generation of Ofce Communications Server – Micro-
soft’s internal instant messaging application – and Ofce Live
Meeting. They have combined these products into one full-fea-

tured communication and collaboration
tool. The Ofce Web Apps are also new.
As the name suggests, these are web-
based versions of the popular Microsoft
Ofce tools Word, Excel, PowerPoint,
and OneNote. These tools are accessible
from any web browser and allow seam-
less sharing of documents with other
users. With the addition of these tools,
Ofce 365 is truly a unifed system for
communications and ofce automation.
Management Tools
Administrators will certainly ben-
eft from going down the Ofce 365 path.
Setting up Exchange, Lync Online and
SharePoint servers can be a prohibitive-
ly expensive and complicated process.
These products installed on premise
require ongoing management. Sign-
ing up for Ofce 365 is simple and takes
you straight to an online management
console. This covers the settings for the
service, subscription management for ac-
counts, and Ofce client licenses which
can be allocated individually or via Ac-
tive Directory roles or policies. It also
displays service health with warnings
for any scheduled maintenance. All this
makes moving to Ofce 365 a clear and
manageable process.
The vast majority of server features
needed are presented in an easy-to-man-
age manner – from laying out SharePoint
sites to sophisticated options for auditing.
There is also the ability to create a central
metadata store to normalize key business
and technical terms in SharePoint librar-
ies to improve index and search.
The tools for managing mobile de-
vices are particularly useful allowing the
user to set policies such as forced encryp-
tion, block devices that do not accept
policies, and remotely wipe lost devices
including iPads. The rumor is it will also
include free support of BlackBerry.
A few more changes include the
ability to delegate a vanity domain. This
allows internal Ofce 365 resources to
appear as from the organization’s do-
main instead of ‘mydomain.onmicrosoft.
com’ – and migrates existing email do-
mains to Ofce 365. Finally, Active Di-
rectory federation services can be used
for true single sign-on which means the
same password can be used to sign into
client PCs, Ofce 365, email, SharePoint,
and Lync.
What’s missing?
Ofce 365 lacks the Business Data Catalog because Microsoft is working on how
to guarantee data privacy. Another hole is the lack of full integration with voice. Lync
allows voice and video conversations through the desktop client, but does not yet allow
one number that routes to the desktop, mobile, or desk phone as one moves around.
There is no Exchange voice mail search and no mobile Lync client for any platform. Mi-
crosoft does not plan to provide voice telephone services itself. Instead, it will partner
with existing voice providers who can integrate their services with Ofce 365 – these
are expected to arrive in about a year. Finally, the lack of federation with public IM
services such as AOL, Yahoo, and Google may cause a few complaints. Important to
remember – we are only in Beta today.
Assuming Ofce 365 has the same level of reliability as Business Productivity Of-
fce Suite (BPOS) – at this price, it could be hard to make a case for on-premise mail
servers unless the business is regulated. The inclusion of Lync Online and SharePoint
are the icing on the cake. Ofce 365 further extends Microsoft’s credibility with busi-

and activated at the appropriate time. Future Efective records can be created for HR
Miscellaneous Benefts, Health Insurance, Life Insurance, and Retirement Plans. The
corresponding Payroll Beneft and Deduction will also be activated. History is tracked
for both current and future beneft information.
Certifcation, License, and Training Manager creates the link between skills,
training, certifcations, and education. Expiration dates and renewal periods are tracked
and available to query on required certifcations and dates of expiration. Custom que-
ries can be created for specifc groups of employees with particular certifcations, li-
censes and/or training. This product enhances the core skill and certifcation tracking
in the HR module. Unlimited certifcation, license, and training records can be created.
The SmartList Builder will allow additional queries and reporting options.
Employee Health and Wellness Manager provides tracking for all immuniza-

I
nsight - It is one on the main reason organizations purchase business applications. While many
organizations purchase applications such as Microsoft Dynamics GP or Microsoft Dynamics
CRM to help facilitate day to day operations, they also purchase and use them to provide a
perspective into the pulse of the business.
So how is that pulse taken? Typically this is done through reporting — but is a report the
best way to gain insight? Insight into a business and the importance placed on that information
is truly relative to the consumer of that information. The insight a salesperson needs on a daily
basis is not the same as that of a marketing professional, sales manager, or a customer service
representative. While commonalities exist between the characters mentioned above and their
desire to evaluate the pulse of the business enabling them to make faster and more accurate de-
cisions, there are also many aspects which are totally unrelated which only a particular job role

activities assigned to the user logged into the system. This provides a potential answer to one of
the common questions related to a Microsoft Dynamics CRM implementation, “Where do I go
when I log in to know what’s going on in the system?”
Microsoft Dynamics CRM 2011 provides numerous out of the box dashboards, making this
role based information available without customization by an administrator or a user. They
include: Customer Service Operations, Customer Service Performance, Customer Service Rep-
resentative, Marketing, Sales Activity, Sales Performance, and Microsoft Dynamics CRM Over-

s the IT environment expands from servers and the desktop to the cloud and mo-
bile devices, data integration is essential to maintain competitive advantage and
achieve success. Microsoft’s cloud strategy aims to deliver “the best experience,
the greatest choice, and the most opportunities” to customers, and integration has to
be center stage for a truly “seamless user experience across all devices.” Companies that
efectively integrate on-premise and cloud applications — and everything in between
— have more efcient and streamlined business processes with real-time access to the
information to efectively service their customers and partners.
The Microsoft Technology Stack
By any name — infrastructure, IT environment, or ecosystem — Microsoft’s tech-
nology stack still dominates the IT landscape and continues to be as attractive to cus-
tomers as it is challenging to competitors. An integrated stack is a great selling point:
Windows, SQL Server, SharePoint, Microsoft Dynamics, and Ofce are all Microsoft,
all compatible. Great! But do they really integrate together right “out of the box?” As
Dynamics customers well know, these products did not all originate in house and they
still need some glue (aka integration) to truly play well together. Now, add products
from other vendors — Microsoft ISVs and/or non-Microsoft ISVs — into the mix, and
integration becomes essential to realizing the full value of all application investments.
Business productivity using Microsoft products continues to improve with continued
process enhancements and advanced
functionality focused on collaboration
and visualization, but data integration
remains a challenge.
Innovation and great features
don’t mean much if the
integration vendor has
not established a base of
referenceable customers
The temptation for Microsoft cus-
tomers and partners to “write a quick
little integration” is high, especially
when your IT department or consul-
tants include expert software engineers.
Buyer beware: coding integrations is not
only inefcient, but also costly, time con-
suming, and very difcult to maintain
over time. That quick little integration
program that seemed so easy to do last
year becomes a time sink as a developer
is diverted to fx or change the program
again and again. This developer is not
working on other projects that bring in-
creased value to the business, and if the
organization is a systems integrator, this
developer is not servicing new custom-
ers or working on new projects. Equally
frustrating is an integration tool that is
not fexible, isn’t scalable, and requires
coding (!) to actually make it work for
the particular integration needs. Even
worse, are multiple integration tools
that perform very specifc, point-to-point
integrations that have been cobbled to-
gether to “integrate” the business. Just
as custom code can be time consuming
and inefcient, maintaining two or more
integration tools or utilities is equally
inefcient, time consuming, and expen-
sive. Avoid wherever possible a pastiche
of custom code, scripts, and various in-
tegration tools and utilities. A good in-
tegration platform should allow for all of
the fex and customization needed with
the Microsoft stack and everything else.
Traits of the Ideal Integration
Platform and Provider
An ideal integration platform should
include functionality that drives down
the complexity and maintenance of in-
tegrations such as an intuitive graphi-
cal user interface, unifed management
console, open connectivity, and reusable
components. Building integrations in
a UI versus writing code makes it pos-
sible for partners and IT to reduce time,
complexity, and costs when building and
maintaining those integrations, as well
as opening integration to a wider skill
set than software engineers. Ideally, a
business or data analyst who has strong
knowledge of the source and target sys-
tems and is familiar with database con-
cepts such as tables and views should
be able to use an integration platform.
Open connectivity allows not only front-
and back-end integration between CRM
and ERP, but also gives the customer
freedom to integrate to a wide variety
of applications, data stores, and newer
sources such as mobile applications, data
services, and feeds. Templates, widgets,
or pre-built solutions provided by the in-
tegration vendor should be extensible so
that customers may confgure them for
unique integration needs. Lastly, which-
ever integration platform is chosen, it
should accommodate upgrades in ap-
plications without a rewrite and allow
existing integrations to be reconfgured
easily.

ustomers who have had the privilege of using FRx
throughout the years understand the importance of this
piece of software in their Business Intelligence (BI) arse-
nal. Producing highly-customized Financial Reports could be
easily handled with FRx.
With Microsoft Dynamics GP 2010, a new star shines on the
BI scene-- Management Reporter. Yes, it has a lot of the same
look and feel to it as FRx, which makes adopting its use a snap
if an organization is upgrading to Microsoft Dynamics GP 2010.
There are some new features, though, that deserve some addi-
tional spotlight.
Report Groups
In FRx, there was the ability to “chain” reports together.
This meant that if one report was generated, and several other
reports were “chained” to each other, all of those reports would
run with the click of one button. But they did not all necessarily
run for the same date. This could result in reports that could
potentially be for diferent reporting periods.
Management Reporter introduces the concept of Report
Groups that simplifes this chaining process. It is as easy as giv-
ing the Report Group a name, and selecting the Management
Reporter reports to add to that Group. This Report Group can
be called up whenever that group of reports needs to be gener-
ated. At the time of generation, choose the date for which to
generate ALL of the reports in that Group and publish them to
the Report Library.

Report Library
Do you need reports, fles and working papers in one shared
location so that board members or some other key group has
access without having to print and ship them? Management
Reporter has the ability to publish non-fnancial, non-Manage-
ment Reporter reports and fles to a Report Library which can
be securely accessed. An organization could potentially publish
a Microsoft Word document, Microsoft Excel document, PDF,
PowerPoint presentation, etc. to the Report Library within Man-
agement Reporter and secure them with Windows Authentica-
tion so that only those people that should have access to them
do. Subsequently, permissions to View, Edit, Create or Delete
documents can be granted to those individuals. Individual users
can be set up, and then Roles created to further group individu-
als for easier security deployment. Security is much easier to
manage in Management Reporter as well.

Customizing Dashboards
Additionally, each of these charts
included in a dashboard allows the user
to drill into more levels of detail rela-
tive to the data in that chart. However,
charts and list of data are not the only
items which can be added to a dashboard.
Other items that can be easily added to a
dashboard include:
• Iframes (Which could be used to
display other web pages or reports)
• Web Resources (Web Page (HTML)
or Silverlight applications)
• Lists (These are views for nearly
any entity in the system)
• Charts
Essentially, a user can access a partic-
ular dashboard (one that comes out of the
box, a custom dashboard created by an
administrator, or a personal dashboard
created by the user themselves), view, and
interact with Microsoft Dynamics CRM
data needed without having to click on
multiple places to get to that information.
For example, imagine a salesperson who,
on a typical day in Microsoft Dnamics
CRM, spends time managing activities
(ie: Phone Calls and Tasks), sales oppor-
tunities, leads, and checking the status of
support cases tied to accounts they own.
Without dashboards, the user would
need to go to Workplace and Activities,
Sales and Leads, Sales and Oppportuni-
ties, and then Service and Cases (poten-
tially need to create an Advanced Find
query to get the right cases). Through
the use of dashboards, they could create
their own dashboard, set it to their de-
fault dashboard, and save themselves a
lot of time everyday.

can be discussed with dashboards in
Microsoft Dynamics CRM 2011, I hope
that this provides you a small peek into
what they are, what is possible, and how
this could help your organization. If you

ustomers, prospects, and the partner community gathered together on April
10-13 for Microsoft Convergence 2011. The event had an estimated 9,300 peo-
ple in attendance and was held at the Georgia World Congress Center in At-
lanta for the second consecutive year. The conference was well received by custom-
ers and partners alike; and, as last year foreshadowed, Cloud services was defnitely
being talked about in the meeting rooms and halls as it continues to evolve and grow.
Some interesting information from this year’s event:
Fact: Microsoft Dynamics GP 2010 R2 was released May 1 with cool new features
such as the Business Analyzer tool designed for executives to view certain data us-
ing the “Light User”.
Fact: ERP Online may be a reality for the next major release of Microsoft Dynam-
ics GP. The timeline on this is slated for late 2012/early 2013.
Fact: The customer appreciation dinner at Agatha’s Mystery Dinner Theatre
tapped our acting skills.
Fact: Microsoft Dynamics GP 2010 R2 will have 64 new Microsoft SQL Server
Reporting Services (SRS) reports for customers to utilize as well as improved Navi-
gations Lists reported to be 200% faster than previous lists.
Fact: A new buzz was Jet Enterprise – the new BI solution from Jet Reports.
Fact: Columbus IT had Dallas Cowboy cheerleaders in their expo booth.
Fact: Some new features for Microsoft Dynamics CRM 2011 on-premise and on-
line include: Social media connectors, improved navigation, and team ownership
of records.
Fact: The volunteer opportunity through Microsoft this year was building a new
playground at an inner city neighborhood.
Fact: An improvement in the works for the next major release of Microsoft Dy-
namics GP – the ability to select the printer at the time of printing a document!
Fact: Convergence 2012 will be held March 18-21 in Houston, TX.

growing, and reputable. Innovation and great features don’t
mean much if the integration vendor has not established a base
of referenceable customers and an ecosystem of consultants or
partners to help you get started. The vendor should have many
active and satisfed customers who can validate the vendor’s ex-
pertise, their support and services, training, and the reliability
of their product. It’s a red fag if your vendor’s customers aren’t
willing to speak with prospective customers. While past perfor-
mance is a good indicator of the future, the vendor should be
able to demonstrate innovation and vision that keeps pace with
emerging markets and technology trends. When adopting new
technologies and applications, does the integration vendor keep
pace? The type and frequency of the vendor’s oferings should
give a clue as to their ability or willingness to keep current with
the applications and data services you may be adopting in the
future.
The Value of a Flexible Integration Platform
A fexible integration platform benefts system integrators
(SI) through simplifed implementation and maintenance of in-
tegration solutions, collaborative user experience, and global
integration support. A true multi-tenant integration frame-
work enables SIs to create and manage multiple solutions and
customers from one dashboard. A fexible integration platform
ofers a choice of pre-confgured integration solutions, which
allow customization for individual customers or specifc verti-
cals and allow the SI to create unique, individual integrations
for customers who have specifc needs that are not served by a
pre-confgured integration solution. SIs can create new revenue
streams with pre-packaged solutions that allow them to more
easily distribute and monetize their IP, and save a tremendous
amount of time and efort in not having to re-create the same IP
with each customer.
Be Prepared for Integration Opportunities
While the Microsoft stack continues to evolve better and
more seamless interoperability, your mileage still may vary
when it comes to true interoperability and integration in the
stack. And the reality is that even the “all Microsoft, all the time”
customers likely have integration needs beyond Microsoft-spe-
cifc applications and services. Organizations need to have an
integration strategy and platform that can address Microsoft in-
tegration needs as well as all other non-Microsoft integration
endpoints. Smart customers and partners adopt an integration
platform to address all of their integration needs.

Actual Inquiry

A
lot of companies like to setup budgets within Mi-
crosoft Dynamics GP and then use FRx or Manage-
ment Reporter to view budget information. How-
ever, many people are not familiar with this window built
into Microsoft Dynamics GP that allows a user to quickly
compare a budget to what was actually spent for a selected
account. (Navigate to: Inquiry > Financial > Budget vs. In-
quiry). The window is very simple and quick to use, with
only three options: Account Number, Budget ID and an op-
tion to display Net Change or Period Balances. After select-
ing the options, the Actual, Budget, Variance, and Variance
Percent amounts can quickly be seen. The printer icon in
the upper-right corner can be used to print these amounts,
or zoom in to the Detail Inquiry screen for a specifc period
to view individual transactions. ▲
What’s That Window?
Question: How do I properly void or correct a
posted transaction in Microsoft Dynamics GP?
Answer: Voiding or correcting a posted docu-
ment within Microsoft Dynamics GP can sometimes
confuse users due to the number of techniques avail-
able throughout diferent modules. The key to proper-
ly correcting a transaction is do so through the module
where the document originated from. For example, if
you want to void a Sales Order Processing invoice, it
must be voided from that module – more on this below.
Financial Journal Entry
1 Go into Transaction Entry and select Cor-
rect.
2 A new window will open, Correct Journal
Entry. Change any options if necessary and
select the Original Journal Entry to back
out. Choose OK.
3 The debits and credits from the original
transaction will be reversed on a new trans-
action. Verify the data on the new transac-
tion and choose Post.
Receivables Management
1 Go into Receivables Posted Transaction Maintenance and enter
the Customer ID, Document Type to void, and the Document
Number.
2 Verify the Void Date and Posting Date and choose Void.
Sales Order Processing
1 Go into Sales Transaction Entry. To correct a posted invoice, skip
to step 3.
2 If the document has been printed but not posted, select the Docu-
ment Number and choose Actions > Void.
3 If the invoice has been posted, create a return by choosing Return
as the Document Type and select the Customer ID. Enter the
header information for the return or accept the default entries.
4 Select the item numbers, units of measure, and item quantities
for the return. When entering the item quantities, a window will
open to enter the quantity being returned to each return quantity
type.
5 Enter amounts in the Trade Discount, Freight, Miscellaneous,
and Tax felds, if necessary.
6 If you have received payment from the customer, enter the
amount in the Amount Received feld, which is treated as a re-
turn of cash or credit to the customer.
7 Choose Post to post the return.
**Do not void SOP documents using Receivables Management as this will
only update the general ledger and Receivables Management, but will not
update inventory.
Payables Management
1 If the document is in historical status, go into Void Historical
Payable Transactions. If the document is in open status, skip to
step 4.
2 Select the document number(s) in the range feld and change the
Void Date or Posting Date, if necessary.
3 Mark each transaction that needs to be voided, and choose Void.
4 Go into Void Open Payables Transactions (Transactions > Pur-
chasing > Void Open Transactions) and choose the Vendor ID.
5 Repeat steps 2 and 3 to void open transactions.
Purchase Order Processing
1 To correct a posted receipt or invoice. Enter a return in Returns
Transactions Entry.
2 Select the appropriate Type for the return. Enter the rest of the
header information or accept the default entries.
3 Select the PO number if necessary, item number, receipt number,
unit of measure, quantity returned and verify other felds to en-
sure they are accurate.
4 Once all the required felds are completed, select Post.
**Do not void POP documents using Payables Management, as this will
only update the general ledger and Payables Management, and it will not
update inventory.
Just remember – voiding or correcting a transaction from the origi-
nating module is the most important step of this process to ensure all
modules are correct in the end. For more information on any of these
processes, open the window and press F1 or select the blue question mark
in the lower right corner for Help, or contact our Support team for as-
