)f you %o!+ te(t, you typically need to ,aste it somewhere. $he ,aste feature in
2010 is much more detailed than in previous versions of Word. When you paste content, the ,aste
&!tions utton provides different options, depending on the source of the content.

-ee! Te.t &nl+3 $his option removes all the original formatting from the te(t.

Foratting Te.t
8ormatting a document can range from modifying te(t size to adding graphics. )t is easy to add creative
touches to any document with the options Microsoft Word has to offer.

$he Font 9roup allows you to change your te(t font style,
size, color and many other elements.
1. &ighlight the te(t you would li-e to modify.
2. .lic- on the drop down arrow of font style and font size
and select the changes you would li-e to ma-e.
#. While te(t is highlighted you can also clic- on the color, old, italics or underline commands to modify
the te(t even more.

2ou can change the case of selected te(t in a document y clic-ing a single utton called %hange %ase
on the rion.
1. &ighlight the te(t for which you want to change the case.

Sentence case, lowercase, 1,,(R%AS(, %a!itali4e

1. 4elect the te(t or graphic that has the formatting that you want to copy.
2. %n the *oe ta, in the %li!board group, single clic- Forat ,ainter' $he pointer
will change to a paintrush icon.
#. ;ring your cursor to the te(t or graphic that you want to format and clic- on the te(t.
5. $o stop formatting, press <4. or clic- on the Forat ,ainter command again.
N&T() 6oule-clic- the 8ormat *ainter utton if you want to change the format of
multiple selections in your document.

$o get rid of all the styles, te(t effects, and font formatting in your document, do the following3
1. 4elect the te(t that you want to clear the formatting from. %r press .$"+=: to select everything in
the document.
2. %n the *oe ta, in the Font group, clic- %lear Foratting.
N&T() $he %lear Foratting command will not
remove highlighting from your te(t. $o clear
highlighting, select the highlighted te(t, and then clic-

$he default spacing is 1.1> line spacing and 10 points after each paragraph. $he default spacing in
%ffice Word 200# documents is 1.0 etween lines and
no lan- line etween paragraphs.
$he easiest way to change the line spacing for an entire
document is to highlight the paragraphs or entire
document that you want to change the line spacing on.

8or e(ample, clic- 1'0 to single-space with the spacing that is used in earlier

lines added after each paragraph as a default
N&T() )f a line contains a large te(t character, graphic, or formula, Word
increases the spacing for that line. $o space all lines evenly within a
paragraph, use e(act spacing and specify an amount of space that is large
enough to fit the largest character or graphic in the line. )f items appear cut
off, increase the amount of spacing.

in the printale area inside the margins When you change a document1s page margins, you change
where te(t and graphics appear on each page. 2ou can change the page margins either y choosing
from one of Word1s predefined settings in the Margins gallery or y creating custom margins.

)f you do not li-e the location of your ullets or numers you can easily
move them to a preferred location.

2ou can use the horizontal and vertical rulers in Word to align te(t, graphics, tales,
and other elements in your document. $o view the horizontal ruler across the top of
your Word document and the vertical ruler along the left edge of your document, you
must e in *rint +ayout view.
1. $o show or hide the horizontal and vertical rulers, clic- 7iew Ruler at the top of the
vertical scroll ar.

.reating ta stops can e helpful when creating a large numer of documents such as flyers, tale of
contents or even when creating a resume. $hey help you to display and line up information correctly.
4etting Manual $a 4tops
1. .lic- the ta selector at the left end of the ruler until it displays t he t y pe o f t a t h a t y ou w a n t .
2. $hen clic- in the ruler at the top of your page, where you want to set the ta stop.
$he different types of ta stops found on the ruler are3
: /eft Tab stop sets the start position of te(t that will then run to the right as you type.
: %enter Tab stop sets the position of the middle of the te(t. $he te(t centers on this position as you
type.
: Right Tab stop sets the right end of the te(t. :s you type, the te(t moves to the left.
: $ecial Tab stop aligns numers around a decimal point. )ndependent of the numer of digits, the
decimal point will e in the same position. ?2ou can align numers around a decimal character only@
: "ar Tab stop doesnAt position te(t. )t inserts a vertical ar at the ta position.
N&T() 2ou can drag e(isting ta stops left or right along the ruler to a different position. Bust .lic- and
hold on the ta stop on the ruler then drag it to where ever you would li-e it to e.
4etting 6etailed $a 4tops
)f you want your ta stops at precise positions that you canAt
get y clic-ing the ruler, or if you want to insert a specific
character ?leader@ efore the ta, you can use the Tabs
dialog o(.

2ou can clear ta stops in a variety of ways, the simplest is going to the ruler, clic- and hold on the ta
stop and drag in down towards the document. $he ta stop will disappear. $o quic-ly clear multiple ta
stops and start fresh3

2ou can add one shape to your file or comine multiple shapes to
ma-e a drawing or a more comple( shape. :vailale shapes include
lines, asic geometric shapes, arrows, equation shapes, flowchart
shapes, stars, anners, and callouts. :fter you add one or more
shapes, you can add te(t, ullets, numering, and Guic- 4tyles to
them.
1. %n the 6nsert ta, in the 6llustrations group, clic- Sha!es.
2. : drop down menu will appear, clic- the shape that you want.
#. .lic- anywhere in the document, and then drag to place the
shape.

%nce you have added a shape, you may want to add te(t inside the
shape. :ll you have to do is clic- on the inside of the shape and start
typing.

rotate or flip the shape, the te(t rotates or flips also.
8ormat 4hapes
:fter you insert a shape a new ta called $rawing Tools Forat will
appear every time you clic- on the shape.

applied.

the te(t in your document is wrapped around the shape.
6elete 4hapes
)f you decide you no longer want the shape in your document then clic- on the shape and then press

: te(t o( is an o,ect that lets you put and type te(t anywhere in your file.
1. %n the 6nsert ta, in the Te.t group, clic- Te.t "o. and a drop down menu will appear.

your own te(t o(.
#. )f you elect to draw your own te(t o( you need to clic- in the document, and then drag to draw the
te(t o( the size that you want.
5. $o add te(t to a te(t o(, clic- inside the te(t o(, and then type or paste te(t.
$o format te(t in the te(t o(, select the te(t, and then use the formatting options in the Font
group on the *oe ta.
$o position the te(t o(, clic- it, and then when the pointer ecomes a , drag the te(t o( to a
new location.
N&T() )f you have prolems printing te(t o(es, ma-e sure that the ,rint drawings created in
Word chec- o( is selected. $o do this, clic- the File ta, clic- &!tions, clic- $is!la+, and
then under ,rinting &!tions, select the ,rint drawings created in Word chec- o(.
6eleting $e(t ;o(es
$o remove a te(t o( ,ust clic- the order of the te(t o( that you want to delete, and then press
6<+<$<. Ma-e sure that the pointer is not inside the te(t o(, ut rather on the order of the te(t o(. )f
the pointer is not on the order, pressing 6<+<$< will delete the te(t inside the te(t o( and not the te(t
o(.
W o rd : rt
Word:rt can e used to add special te(t effects to your document. 8or e(ample, you can stretch a title,
s-ew te(t, ma-e te(t fit a preset shape, or apply a gradient fill. $his Word:rt ecomes an o,ect that you
can move or position in your document to add decoration or emphasis. 2ou can modify or add to the te(t
in an e(isting Word:rt o,ect whenever you want. $o add Word:rt to te(t in your document, complete
the following steps3

#. +ocate the picture that you want to insert. 8or e(ample, you might have a picture file located in M+
$ocuents.
5. 6oule-clic- the picture that you want to insert and it will appear in your document.
N&T() $o resize a picture, select the picture youAve inserted in the document. $o increase or decrease
the size in one or more directions, drag a sizing handle away from or toward the center, while you do one

2ou can easily resize pictures, te(t o(es, shapes, and Word:rt in your file. 2ou can also crop pictures
or return them to their original size.

2. 4mall circles or squares, also -nown as sizing handles, will appear at the
corners and sides of a selected o,ect.
#. .lic- and hold on a sizing handle away from or toward the center to increase or decrease the size of
the picture.
.ropping a *icture
.ropping reduces the size of a picturey removing vertical or horizontal edges. .ropping is often used to
hide or trim a part of a picture, either for emphasis or to remove unwanted portions.
1. .lic- on the picture that you want to crop.
2. 9o to ,icture Tools, on the Forat ta, in the Si4e group, clic- %ro!.
#. ;lac- dotted lines will appear around your picture. $hen drag the center
cropping handle on that side inward.
5. :s you drag the cropping handle you will notice the
area of your graphic you want removed will ecome
gray.
>. %nce you have cropped out everything you want,
clic- outside of the graphic for the gray area you want removed to disappear.
!ncrop a *icture
2ou can always restore a resized or a cropped picture to its original appearance.
1. .lic- on your picture
2. 9o to ,icture Tools, on the Forat ta, in the Si4e group, clic- %ro!.
#. ;lac- dotted lines will appear around your picture. 6rag the lac- lines away from the center of the
picture and the original picture will appear.
Advanced Foratting Techni8ues

space when creating lists.

More %oluns, and then select the /ine between chec- o(. 2ou can also
ad,ust the column width and spacing.

choosing from among many different layouts, to effectively communicate your message or ideas. 2ou
can create 4mart:rt graphics in <(cel,
%utloo-, *ower*oint, and Word.
4mart:rt graphics enales you to create
designer-quality illustrations with only a
few clic-s of your mouse. When you
create a 4mart:rt graphic, you are
prompted to choose a type of 4mart:rt
graphic, such as ,rocess, *ierarch+,
%+cle, or Relationshi!. <ach type of
4mart:rt graphics contains several
different layouts. :fter you choose a
layout, it is easy to switch the layout or
type of a 4mart:rt graphic. Most of your te(t and other content, colors, styles, effects, and te(t
formatting are automatically carried over to the new layout.
When you select a layout, placeholder te(t ?such as 9Te.t:@ is displayed, so that you can see how your
4mart:rt graphic loo-s, nor is it displayed during a slide show. &owever, the shapes are always
displayed and printed, unless you delete them. 2ou can replace the placeholder te(t with your own
content.
